## When do we get paid for an event?

Daily, as tickets sell, when you take the card payments on your own payment processing account: a Stripe account in a supported Stripe country, or a Xendit account in Indonesia. If Ticket Fairy collects the payments for an event, payouts are processed 10 to 15 business days after the event finishes. Postponed events, pending refund requests and chargebacks can extend that wait. The publish review states the timing for the event in front of you.

You choose how each brand takes ticket money. With your own payment processing account linked on your brand's Payments page, buyers pay into it as tickets sell. The account must show Active on that page before you can sell with it. Or Ticket Fairy takes the card payments, with nothing to set up before you publish, and pays you after the event.

When Ticket Fairy pays you, the money goes to the account under Payout Details on your brand's Details page. One event can use its own account through Use alternative payout details for this event, which suits a co-promoted show. It is worth checking those details before the event ends, because a payout already on its way to an old account has to be recalled.

In Vault, under Events, Payout due under Show events lists every ended event that Ticket Fairy pays you for and has not paid yet. Each event's money shows Payout expected with its window, then Paid with the date once the money is sent. Payout on hold means Ticket Fairy is holding it, for example while buyers of a canceled event are refunded.

[Check the payout for your event](https://www.ticketfairy.com/guides/check-your-payout)

## Who pays the booking fee, us or the buyer?

You choose for each event. With Added, the default, the buyer pays the booking fee on top and you receive the full ticket price. With Absorbed, the buyer pays exactly the ticket price and the fee comes out of what you receive.

On your event, you select Tickets and choose a card under Booking Fees on the Inventory tab, or choose in the Booking fees section while you create the event. The choice comes before your first ticket type, because you cannot switch between Added and Absorbed once ticket types exist. Added Later shows the ticket price on your event page and the fee at checkout, and is not offered for events in Australia, the United Kingdom or the United States.

Your Ticket Types table shows Face Value, the price you entered, beside the price including fees under Added or the price excluding fees under Absorbed. That second column is the figure to use when your deal with the venue or the artist is on what you receive rather than on the face value. Free tickets carry no fee under any choice.

[Choose who pays the booking fee on your event](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

## How do we know what an event really earned after refunds and fees?

The event's money in Vault, from Events and View money, shows it. You see what buyers paid, every refund, fee and partner share taken off it, and Estimated to you, with a timeline of when the money reaches you.

Money in counts Ticket sales, Add-ons and any Accommodation and other extras, with Of which tax showing the tax already inside your ticket sales. Taken off lists Refunds, Ticket Fairy fees, Card processing fees, Partner shares, Capital repaid and Lost disputes. Each currency the event sold in has its own block, so nothing is added across currencies.

Estimated to you always carries Estimate, because the final figure is your payout. Open disputes are listed beneath it but not taken off yet, and the notes under the figures say when a dispute or a card fee may still lower it. You can read every event's money this way without an active Vault account.

For a live figure during the on-sale, the event's Performance page has it. Net revenue is what the event has earned so far, with add-ons and table revenue in it and box office takings on a card of their own.

## Is Ticket Fairy a bank?

No. The Ticket Fairy, Inc. is a technology platform and is not a bank. Vault banking services are provided through regulated banking partners, and Ticket Fairy Capital financing is provided by third-party private credit partners, who make every funding decision.

Vault is your brand's account for its event money, held for you through regulated partners. Money from every event your brand runs arrives in the same balances, one for each currency, and you pay suppliers, issue cards and raise invoices from them.

Ticket Fairy Capital is an advance against your future ticket sales. A third-party funding partner reviews each application, decides whether to approve it and sets the terms, so Ticket Fairy never makes the funding decision.

[See how you hold and spend your event money in Vault](https://www.ticketfairy.com/features/vault)

## How do we get Vault?

A brand owner opens the Vault account for your brand and finishes a verification check. You can finish setup in Ticket Fairy for a business in the United States, Australia, Canada or the United Kingdom. The same goes for Singapore, any EU country, Iceland, Liechtenstein or Norway.

You select your brand and open Financial setup, or select Continue financial setup from Vault. Work through Business, Activity, People and Documents, selecting Save and continue on each, then check everything under Review and select Submit for verification. Saving a step does not submit the account, and you can leave part way and come back to your saved details.

Vault then shows We're checking your details. If more details are needed, the requests appear on Overview, and you answer each one before any deadline shown. Once the account shows Active, Vault shows your balances. Opening Vault does not change where your existing ticket payments are processed. If Vault is not in your brand's menu, Ticket Fairy support can switch it on.

[Open a Vault account to hold your ticket money](https://www.ticketfairy.com/guides/open-a-vault-account)

## Can we spend everything that shows as Available now in Vault?

Not always. Available now is what you can move out of Vault today, and it does not take off refunds you still owe, Capital you have not repaid or money due to others. Subtract those before you commit to a payment.

In Vault, you select Overview. Under Your money, each currency has its own row, largest first, and Available now is the money you can pay out or spend today. The figures beside it show what is still on its way and what is held. Before you commit to a payment, Refresh updates the figures, and the time after Balances updated tells you how current they are.

Needs your attention lists anything that needs you before you pay anyone, such as a payment to check or a batch waiting to be sent. Nothing needs you right now means there is nothing to check or send. Capital still to repay shows on the Events list beside each event, so take it off Available now yourself.

[See how much of your ticket money you can spend from Vault](https://www.ticketfairy.com/guides/read-your-vault-balances)

## How do we pay everyone we owe for an event?

Everyone you owe goes in Who you owe for this event, on the event's money in Vault, and you pay them all in one batch. Your bookings fill in most of the list, and Pay selected pays everyone you tick.

In Vault, you select Events, then View money on the event. Under Suggested from your bookings, you select Add beside an artist fee or a supplier quote, or select Add someone for anyone no booking covers. You enter the Name, Amount and Currency, choose the saved Recipient and what they do, such as Performer, Supplier, Venue or Staff, then select Add. Nothing is paid yet, and each row says who last changed it and when.

You tick each row you want to pay now and select Pay selected. Pay several people opens with one payment for each person, linked to the event, up to 100 in one batch. With Review payments, then Prepare batch, Vault tells you the batch is ready and nothing has been paid yet. Check the cost shows what each payment takes from which balance, with the rate and the fee, before anyone selects Send payments.

Back on the event's money, each row shows Paid once the money reaches them, or Payment didn't go through, which puts the person back on the list to pay again. For a long list, Upload a spreadsheet adds the payments from a CSV file.

[Pay everyone you owe for an event](https://www.ticketfairy.com/guides/pay-everyone-you-owe-for-an-event)

## Can we make sure no one person can send a payment alone?

Yes. With payment approvals on, the person who prepares a payment can never send it. A different owner sends each batch, single payment and recurring payment another owner prepares.

In Vault, you select Transfers, then Pay several people. Payment approvals is the first section on the page. You turn on Require a second person to send payments and select Require a second person to confirm it. Only the brand owner can turn the rule on or off, and the line under the switch says who last changed it and when.

With the rule on, a single payment you prepare from New transfer waits as a one-payment batch for another owner to send, and a recurring payment waits for a second person to approve it before it is set up. Checking or retrying a payment already sent, and converting money between your own Vault balances, need no second person because none of them pays anyone new. You need at least two owners, because the person who prepares a payment cannot send it.

[Make a second person send every payment from your event money](https://www.ticketfairy.com/guides/turn-on-payment-approvals)

## How long before we can pay a regular supplier with fewer checks?

At least 24 hours. Your request to trust the supplier starts a 24-hour cooling period, and any owner can reject it during that time. After that, a second owner, never the person who asked, approves it after checking the bank details. If the details change after the request, approval stops and a new request is needed.

In Vault, you select Recipients. In the supplier's Recipient details, you compare the saved account with the supplier's own invoice or a call to someone you know there. In the menu at the end of their row, you then select Request trusted status, add an optional note for the approver and select Start cooling period. The row shows Cooling period in the Security column.

After 24 hours the row shows Awaiting approval. A second owner opens the same menu, selects Approve trusted status, compares the details again and selects Authenticate and approve. The Security column then shows Trusted, and payments to that supplier go with fewer security checks.

[Mark a supplier you pay every event as trusted](https://www.ticketfairy.com/guides/trust-a-payout-recipient)

## How do we keep track of what we have already committed to spend on an event?

Purchase orders are raised on the event. An approved purchase order counts as a committed cost in the event's Budget, beside your plan and your actual costs, and Payments due lists every deposit, balance and supplier payment by when it falls due.

On the event, you select Operations, then Contracts and Purchase orders. You select New purchase order, enter the Supplier and each line of What you are ordering, and select Save as draft. You check the lines and total, select Approve, then Send to supplier. Once approved, the order can no longer be changed, so select Change first if anything is wrong.

When the invoice arrives, you select Add their invoice and choose the file. Fai reads the total and says whether it matches the order to within 1.00 in the order's currency. If she cannot read it, you enter the total yourself and select Check against the order.

Payments due shows each payment as Overdue, Due this week, Coming up or No due date. Mark paid records a payment you have already made, with the amount, Paid on and Paid by. Recording it moves no money. The Operations page opens for owners, admins and producers only.

## Can we see which events and suppliers cost us the most this year?

Yes. The Spend tab in Event Operations adds up the budgets of every event your brand runs in the period you choose, with recorded and planned costs, your biggest suppliers and the cost for each person scanned in at the door.

On your brand, you select Event Operations, then Spend. Under Which events, you choose Last 12 months, Next 12 months, This year or Last year. Recorded costs add up the actual costs in those events' budgets, and Planned costs add up their plans, with the income your events recorded beneath them.

Cost per checked-in attendee divides the recorded costs by the people scanned in at the door, never by tickets sold. Budget sections adds up sections with the same name across your events, and Biggest suppliers comes from approved, sent or invoiced purchase orders. Events lists each event's planned and recorded costs, 20 at a time. Every amount stays in its own currency.

[See what your brand spends across its events](https://www.ticketfairy.com/guides/see-what-your-brand-spends-across-its-events)

## Will our figures mix up euros, pounds and dollars?

No. On an act's all-in cost and in the Spend report, each currency keeps its own total. A Vault payment can come out of a balance in another currency, with the rate and fee shown before anyone sends it.

Vault keeps one balance for each currency. To pay a European act in euros from your pounds, you select Convert on the Activity page or beside Your money on the Overview. You choose the balance in From your balance and the currency in Into, then enter the amount. Your rate shows beside the Mid-market rate, with Our fee already inside your rate and when the Money arrives.

You tick I agree to convert at this rate and select Convert. Under More options you can link the event and say what the money is for, so your team knows why you converted. Activity then lists every movement of your money, newest first, with the Balance after each one.

[Convert currencies and follow every movement of your event money](https://www.ticketfairy.com/guides/convert-currencies-and-read-your-vault-activity)

## Can sponsors and partners abroad pay us in their own currency?

Yes. A receiving account in Vault in the country your payers are in lets them pay you there as they would pay any local account. The money arrives in the currency it was sent in and waits in Vault until you spend it.

In Vault, you select Accounts, then Create new account. You choose the Country and the Currency, then Local when your payers are in that country or SWIFT when they send from abroad. You enter a Nickname your team will recognize, such as European tour, and select Create account. Vault opens receiving accounts in 17 countries, including the United Kingdom, the United States, Germany, Australia, Canada and Singapore.

Once the status says Active, the account details are ready to share. The account's name copies them into your invoice or email, and payers use the Account name shown there. To see what has arrived, View transactions in the account's row menu shows it. Each payment also counts in that currency's row of your balances, as pending until it settles.

[Get paid for your events in local currencies with Vault](https://www.ticketfairy.com/guides/receive-money-in-global-accounts)

## Can our crew spend on the road without an expenses form?

Yes. Your crew can carry Vault cards with the limits, dates and kinds of business you set, linked to the event. Each card payment then carries its receipt, a note and the event, so it lands in the right budget.

In Vault, you select Cards, then Issue several cards. You choose up to 50 people under Who gets a card?, choose the event, then choose Crew card for an event under What is this card for? and enter its limit. Every card in the set gets the same controls, and Adjust controls changes the dates, ways to pay or where the cards work. You review the cards, then issue them.

In Card activity, the RECEIPT and EVENT columns show which payments still need a receipt or an event. They select the merchant, then Add a photo or PDF of the receipt. Vault reads the total from the receipt and shows Amount differs when it does not match the payment, so you can ask about it or add a note. You can freeze or cancel a card at any time.

[Issue Vault cards to your whole event crew at once](https://www.ticketfairy.com/guides/issue-vault-cards-to-your-event-crew)

## How do we settle up with an artist's tour manager after the show?

Fai drafts the settlement from the show's ticket sales after refunds, the actual costs in its budget and the fee from the accepted offer. Each line says where its figure came from, so the tour manager checks the same figures you do.

On your brand, under Event Operations, then Settlements, you select Settle a show. You choose the Event and the accepted offer under Performer deal, then select Draft the settlement. The act's travel, hotel and agency fee come in too, without counting anything in the budget twice, and each amount stays in its own currency.

Bring up to date refreshes it after a late refund or a new cost. You can add a line for anything else, with a minus amount for a credit. To fix a wrong line, you select Reverse, and a new line cancels it while both stay on the sheet.

When the figures are ready, you select Share, and the lines lock. Print or save as PDF gives you a copy for the tour manager or agent. You select Mark as agreed when both sides accept it and Mark as paid once the artist has their money. Marking it paid records the payment and moves no money.

[Settle a show with an artist after your event](https://www.ticketfairy.com/guides/settle-a-show-with-an-artist)

## Can Fai pay anyone without us?

No. Accepting a finance suggestion only prepares something, such as a payee on an event's list or a payment batch ready to send. A person on your team sends it after confirming it is them. A second person approves it when payment approvals are on. Do it for me is offered only for finance work that moves no money and sends no email.

Fai checks every 15 minutes and leaves her work under Prepared for you on the Vault Overview. Waiting for you lists what she prepared, such as the final fee of a percentage deal. How Fai worked this out shows each step of the sum, such as the Guaranteed fee, the Break-even point and the Artist's percentage, with Where this comes from linking to the contract or the event's money she read.

You accept a suggestion with its first button, which names what happens, or select Change and accept to change the amount, the recipient or the budget section first. Dismiss it with a reason, and Fai will not suggest the same thing again unless its details change. Only the brand owner changes how much finance help Fai gives.

[Let Fai prepare the finance work after your events](https://www.ticketfairy.com/guides/let-fai-prepare-your-finance-work)

## How do we collect our share of a trader's sales?

The trader's pitch fee can carry a share of sales. After the event, each trader enters their takings with their till or card reports on their own page, Fai checks the reports against the figure, and you raise the share-of-sales invoice with a link to pay.

The Share of sales (%) goes under Fees in Set up, with an optional minimum and maximum. After the event, you open the event, select Operations, then Traders and Takings. Each trader shows Reports match, Reports differ or Reports unclear, from what Fai read in their reports.

Each trader shows their figures and their reports. If a figure does not add up, you select Ask about it, and with Email the trader on, their page asks them to enter it again. If it is right, you select Accept, then Raise the share-of-sales invoice. Invoices lists every trader invoice as Paid or Unpaid, with the totals paid and still to pay in each currency.

[Check your traders' takings and invoice their share of sales](https://www.ticketfairy.com/guides/check-trader-takings-and-invoice-a-share-of-sales)

## How do we invoice a sponsor and see whether they have paid?

You raise the invoice from Vault, with line items, a currency and a due date. Your sponsor pays from the invoice's link, and the Invoices tab shows which invoices are still unpaid.

In Vault, you select Invoices. The sponsor goes in once on the Customers tab with New customer, so next year's invoice starts with their details. With New invoice, you choose the customer, the Currency and how you get paid, and add a due date and a memo the sponsor sees, such as the event and what the invoice covers. Create invoice saves it as a Draft.

On the draft, you select Add item for each line, such as a sponsorship package. You then select Finalize from the draft's menu, open the invoice and select Copy invoice link to paste into your email. It reads Finalized and Unpaid until its payment is recorded. For a smaller package sold to many local businesses, a payment link saves raising an invoice for each one.

## Can buyers pay for expensive tickets in installments?

Yes. A payment plan on the event spreads the cost. Buyers pay a deposit at checkout and the rest weekly or monthly on the schedule you set, and you choose how many weeks before the event an unfinished order is canceled.

In your event's payment settings, you turn on Enable payment plan. You choose whether the First installment is a percentage, a fixed amount or the same as later payments, then the Number of installments, weekly or monthly, and how many weeks before the event the final installment is charged. Monthly charges every 30 days rather than on the same date each month.

A cancellation set a few weeks after the final installment date gives a buyer whose payment failed time to catch up. It is worth reviewing your payment-plan orders after each collection date. The plan applies to this event only, and its settings lock in the dashboard from the event's first sale.

[Let buyers pay for tickets in installments](https://www.ticketfairy.com/guides/let-buyers-pay-for-tickets-in-instalments)

## If we refund a buyer, do the service fees come back too?

No. A refund returns the order's face value to the card the buyer paid with, and service fees are not returned. The event owner refunds a whole order from the Orders page.

On the event, under Orders, you find the order on the Paid tab, then open its row menu and select Refund. You select Get authorization code, enter the six digits Ticket Fairy emails you and select Confirm Refund. Ticket Fairy needs to turn on dashboard refunds for your event first, or the Refund option does not appear.

The option covers a card order through your own connected payment processing account, before the event's funds are paid out. Ticket Fairy support refunds anything else for you. The order moves to the Refunded tab, its barcodes stop working, your reports update, and the activity log records Order Refunded with the name of the person who refunded it.

[Refund an order on your event](https://www.ticketfairy.com/guides/refund-an-order)

## Who on our team can see the money?

Only brand owners use Vault and turn payment approvals on or off. Owners, admins and Stats logins see the whole Performance page. A Stats login does not see Gross Revenue unless it is enabled for your account. Budget and Contracts show only to people whose role can see your event's finances.

You invite your accountant from your brand's Team page with Add Team Member, and choose Stats. A Stats login reads every report, including revenue, and cannot change anything. Limited Stats sees the same reports without revenue. The role on one event's Event Team suits someone who should see only that event.

You find Budget and Contracts on the event's Operations page, which opens for owners, admins and producers. Door Staff, promoters and support logins never see the budget, the contracts or Vault.

[Invite your team and choose what each person can do](https://www.ticketfairy.com/guides/invite-your-team)

## Can we get a full year's statement for our accountant?

Yes. A Vault statement covers up to one year, ending no later than today. Preparing one usually takes a few minutes, and you can download a ready file for 30 days.

In Vault, you select Statements. In What you need, you choose an account statement, which is an official PDF with opening and closing balances for one currency, or all activity as a Spreadsheet (CSV) or PDF. You choose the Dates, such as Last month or Custom, and the Currency, then select Get statement.

The statement joins Your statements as Preparing… and changes to Ready, with a Download button. Vault keeps a record of who asked for each statement and who downloaded it, so you can show your auditor who had each file.

[Get a Vault statement of your event money for your accountant](https://www.ticketfairy.com/guides/get-a-vault-statement)

## Can we get funding for artist deposits before our on-sale?

If your event business is eligible, you can apply to Ticket Fairy Capital for up to $3M in the United States and up to €3M in Europe. In the United Kingdom you can apply for up to £5M. A funding partner reviews your ticket sales history, your record of past events and your projected sales. The partner decides whether to approve your application and sets the terms.

Capital pays the costs that fall due months before your ticket money arrives, such as artist and venue deposits, stages, sound and lighting, and the marketing that starts your on-sale. You do not need to sell tickets with Ticket Fairy to apply, because a funding partner considers your sales history from any platform.

You apply online and receive a decision within a few business days. If you are approved, the money typically arrives within one to two weeks. Repayments follow your ticket sales under the terms you agree, with no fixed monthly payments, and the Vault Events list shows what each event still has to repay.

[Fund deposits before your on-sale with Ticket Fairy Capital](https://www.ticketfairy.com/features/capital)

## Can we pay rent and regular suppliers automatically?

Yes. A recurring payment from Vault covers the venue rent, a weekly residency or any supplier you pay on a schedule. Vault pays them on each date until the last payment you choose, or until you stop it.

In Vault, you select Transfers, then Recurring payments, and select Set up a recurring payment. You choose the saved Recipient, the Amount and Currency, what it's for and the Reference they see, such as Monthly rent. You choose How often, the First payment up to a year ahead and an optional Last payment, link the event, then select Set up payment.

The schedule shows Being set up, then Active with the date of its next payment. The money comes out of the balance in the payment's currency, because a recurring payment cannot convert from another balance. With payment approvals on, a second owner approves the schedule before it starts.
