## Who pays the booking fee, the club or the buyer?

The buyer pays it, unless you choose otherwise. With Added, the default, the buyer pays the booking fee on top and you receive the full ticket price. Absorbed suits you when the price on your flyer has to be the price at checkout, and the fee comes out of what you receive.

On your event, you select Tickets and choose a card under Booking Fees on the Inventory tab, or choose while you create the event. The choice comes before your first ticket type, because you cannot switch between Added and Absorbed once ticket types exist. A third choice, Added Later, shows the ticket price on your event page and the fee at checkout, in countries other than Australia, the United Kingdom and the United States.

The booking fee depends on the ticket price and your event's country, and your Ticket Types table shows the exact amount for every price you enter. Free tickets carry no fee, and there is no setup fee and no required monthly ticketing fee.

[Choose who pays the booking fee on your night](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

## When do we get our ticket money?

You get paid daily as tickets sell, once your own payment processing account is linked and active. If you choose to be paid out after your event instead, Ticket Fairy processes the payments and pays you 10 to 15 business days after the event finishes.

Daily payouts need a payment processing account of a kind and in a country where we support them, and your publish review shows which applies to your event. Any other account you link pays out on its own schedule. With your account linked before your next on-sale, you are paid as tickets sell.

When you are paid after the event, the money goes to the account under Payout Details on your brand. It is worth checking before the night ends, because a payout already sent to an old account has to be recalled. Pending refund requests and chargebacks extend the wait.

[Check the payout for your night](https://www.ticketfairy.com/guides/check-your-payout)

## Does a duplicated night copy my promoters and guest list?

You choose what comes across. The copy always takes the event details, venue, settings and ticket types. You choose whether the team, promotions, email templates and other parts come too. Guest tickets and orders stay with the night you issued them for.

On Events, you open the menu on last week's night and choose Duplicate Event. You enter the new Event Name, Short Name, dates and Event web address. The copy always takes the event details, venue, descriptions and media, settings, ticket types and sales tracking.

You then select each extra part you want: the team, promotions, promoter promotions, email templates, team invitations, contacts, FAQs, ticket delegations and custom fields. The team copies across when the same promoters work the new date, and you leave it out when the line-up or the door team changes.

When you select Duplicate, the new night opens as a draft that buyers cannot see until you publish it. Orders, check-ins and sales totals stay on the original night, so each date keeps its own figures. A copied ticket type starts with the allocation from last week's setup, not the number of tickets left, so check it before you publish.

## How much of a booth booking is paid online?

You choose a share from 1 to 100 percent. We charge our booking fee on the amount paid online, not on the balance you collect at the venue. Your door team marks the balance paid once they collect it.

On Tickets, you select Create under Table Types. Online Deposit Percentage holds the share of the booking paid at checkout, from 1 to 100. With 100, you take the whole price online. When you save, the confirmation repeats your figures, such as a 25% deposit with the remaining 75% collected by you, and you select Confirm.

On your event page, a table with a deposit carries a 25% Deposit badge, and checkout shows the rest as Pay on Check-in. When your door team scans the booking in the Entry Fairy app, the ticket shows Remaining to pay with the balance, including any extra guests. Your team takes the rest of the payment at the club, then marks it paid in the app.

## What if a booth buyer never finishes the identity check?

They see a prompt on your event page and get a reminder email after 12 hours. The card hold lapses after about 7 days on most cards, then the booking is canceled and the booth goes back on sale. You can confirm a regular yourself from the Needs Verification tab.

Every table booking needs an identity check before the card is charged. After paying, the buyer photographs an ID document and takes a selfie, and the result usually arrives in seconds. If it passes, the hold is charged and the ticket goes out. A buyer who passed the check before skips it.

To see who is still waiting, you open Orders and select the Needs Verification tab. Resend verification emails the buyer a fresh link. Capture & verify takes the payment and issues the ticket without the check, for a regular you already know. Cancel & release hold cancels the booking and puts the booth back on sale. Capturing and canceling cannot be undone.

## Can a promoter see my other promoters' sales?

No. Each promoter sees the night's sales beside their own link, and their figures stay private from the rest of your promoters. A partner with an allocation never sees your sales or your buyers.

A promoter can copy their own link at the top of Performance and see the night's ticket sales. They cannot change your tickets, your tables or your other promoters. You see every promoter side by side on Sales by Promoter, with their tickets, revenue and visits.

A promoter who sells across your whole program belongs on your brand team, under Brand, then Team. A promoter who sells one night belongs on that event's team, so their access ends with that night. A partner who only hands out guest tickets gets a delegation link with no access to your dashboard at all.

[Put your promoters on your brand or on one night](https://www.ticketfairy.com/guides/run-a-nightclub)

## When does a sale count for a promoter?

A ticket or booth booked within 7 days of opening the promoter's link, in the same browser, counts as theirs. If you refund a booking, it leaves their row along with its revenue.

If the buyer opens another promoter's link afterwards, or books on a different device, the sale counts elsewhere. A table booking counts once in Tickets, however many guests it holds, and its revenue includes the balance you collect at the club.

On your brand, Promoters ranks everyone across all your nights by the tickets and revenue their links brought in. What stands out names who is rising and who has gone quiet. Ready for the brand team lists people who sold on two or more of your nights while on event teams only, so you can invite them to your brand team.

[See which promoters sell your tickets](https://www.ticketfairy.com/guides/see-which-team-members-sell-your-tickets)

## Does Ticket Fairy pay my promoters their commission?

No. You pay your promoters yourself, using the commission owed on each deployment of your collective.

You set the commission when you send your collective to a night: a percentage of sales, a flat amount per ticket, a flat amount per order, or none. The collective's Sales and commission section lists the tickets, revenue and commission owed for each night, with each promoter's figures underneath, so you can read each amount on pay day.

A promoter on your brand team can earn commission too. You choose it when you invite them with the Promoter role, or set it later on the Commission tab of your brand's Team page. Free tickets earn no commission, and a ticket refunded in full takes back what it earned.

[Set and read the commission your promoters earn](https://www.ticketfairy.com/guides/sell-as-an-agency-or-promoter-group)

## Can I turn away buyers who are under age?

Yes. You can ask every buyer for their date of birth and set the youngest age you admit. Checkout works out each buyer's age on the day your event starts and tells an under-age buyer why they cannot buy.

On your event, you select Tickets, then the Settings tab, and turn on the date of birth in the Ticket Settings card. On the event's Details page, you then choose the youngest age you admit in Minimum age and select Save. The Club show template already sets an 18-and-over limit.

A buyer who turns 18 before the night can buy for an 18-and-over night, because checkout counts their age on the day the event starts. The check applies to the person paying. At the door, your team sees each guest's age status as the ticket scans and marks the wristband as ID checked.

[Ask buyers for their date of birth and set a minimum age](https://www.ticketfairy.com/guides/choose-which-attendee-details-checkout-collects)

## Which phones can take card payments at the door?

Your door team can take card payments on compatible Android phones. Taps work when your payment processing account is in a country where tap to pay works, your event's venue is in that same country, and your business address or the venue's address is complete. Cash sales work on any phone that runs the scanning app.

Buyers tap a card, phone or watch on the back of the phone, so you need no card reader. If a phone does not offer it, the app names the reason. Once you fix what it names and save, the option appears within a minute.

You set up card payments once, on your payment processing account, and every phone on the door can sell at the same time. Box Office Sales shows each sale by seller, with cash and card apart, so you settle up with each person on the door at the end of the night.

## Do I need to connect Instagram for fans to get the ticket link when they comment?

Yes. Your Instagram account connects to your brand first, directly or through the Facebook Page it is linked to. Instagram allows one private message per comment, for 7 days after the comment.

On your brand, you select Social, then Outreach and Auto-replies. Under Event flows, you choose your night, select Ticket link and check the message the fan gets. You can watch for up to 30 keywords, and capital letters do not matter.

You choose which posts the auto-reply watches, then select Review and Turn on now. Each fan who comments gets the ticket link in their private messages within seconds, and the auto-reply's row shows how many links went out and how many tickets fans bought from them.

[Send fans your ticket link from your social posts](https://www.ticketfairy.com/features/social-media)

## Can I manage my DJs' set times, travel and riders here too?

Yes. You keep each DJ's set time, fee and rider, advance a headliner's travel and hotel, and run the night from your run of show in the same dashboard as your tickets, promoters, booths and door. You can book a demo, and we set up your first night with your team.

Each DJ's set time, fee and rider sit in your line-up, and you reveal each act on your public line-up when you choose. A touring headliner gets an advance sheet for travel, hotel, hospitality and their guest list, and their tour manager fills in their part from a link with no sign-in.

Fai drafts the run of show from your set times and opening hours, with doors, changeovers and curfew. On the night, a backstage screen shows the act on now, the act on next and how late the room is running. Each night keeps its own line-up, so a guest DJ on one Friday never appears on the next.

[Book your DJs and run their line-up](https://www.ticketfairy.com/event-operating-system/artists-and-line-up)

## Which clubs and bars use Ticket Fairy?

Nightclubs, music clubs, day clubs, lounges and weekly warehouse parties sell tickets and take table bookings with Ticket Fairy. You get the ticketing features nightclubs need, from the guest list to table bookings, and your door team sees every booking.

A weekly club night starts from the Club show template, with an early bird, an advance and an on the door price, an 18-and-over age limit, ID at the door, and door and last entry times. Say yes to a guest list ticket and a VIP booth, and the template adds them too.

A club that runs every week sets up its permanent team on the brand, with roles such as admin, stats, door staff and promoter, so their access carries across every night. Visiting promoters and temporary door staff join one night's team only.

[Run ticketing for a nightclub](https://www.ticketfairy.com/guides/run-a-nightclub)

## Can I run the whole club night here, beyond ticketing?

Yes. Beside your online ticket sales, you run table bookings, promoters, the guest list, the door, your DJs and your regulars from the same club night. Bars and other nightlife brands run their nights the same way.

You set up the night's releases and tables on Tickets, send the guest list from Guest Tickets and invite each promoter from the event's Team page. With Send Promoter Links ticked when you publish, each promoter gets their own link and QR code by email.

Under Marketing, Tracking Links gives your Instagram bio, each campaign and each printed flyer a separate link, so you see the clicks, orders and revenue each one brought in. While the doors are open, Check-In's Hourly view shows arrivals by hour and the running Checked In total.

[Run ticketing for a club night](https://www.ticketfairy.com/guides/run-a-club-night)

## Can guests pay a deposit when they book a table?

Yes. You create a table type for each booth or bottle-service package, and choose the share paid online, from a deposit to the whole price. Buyers choose their party size, and your door team sees the balance to pay when the host arrives.

You enter the booth's Name, Price and Stock, then the smallest and largest party in Minimum Guests Per Reservation and Maximum Guests Per Reservation. In Price Per Additional Guest After Minimum, you enter what each guest above the minimum adds, or 0 when the table price covers everyone.

You choose when each table type goes on sale: always, once the table type before it sells out, or from a date and time you set. For example, the mezzanine can go on sale once the dancefloor booths sell out. Our booking fee is charged on the amount paid online, not on the balance you collect at the club.

[Set up a booth with a deposit](https://www.ticketfairy.com/guides/sell-vip-tables-and-bottle-service)

## Can my club promoters have their own links and guest lists?

Yes. Each promoter gets their own link and QR code for every night, and Sales by Promoter shows what each one sold. A promoter with a guest list allocation adds their own guests up to the number you set.

A promoter invited to your brand team gets a link for every night you run, including nights you create later. One invitation link from Invite Promoters, shared in your promoters' group chat, lets everyone who opens it and signs in join as a promoter.

For a guest list allocation, you create a delegation on the night with the guest list ticket type and the number they can hand out. The promoter gets a sign-in link of their own, adds their guests by name and cannot go past the number you set. You can raise the number at any time.

[Give a promoter their own guest list allocation](https://www.ticketfairy.com/guides/let-a-partner-hand-out-their-own-tickets)

## Can clubs and bars sell tickets in their own currency?

Yes. Clubs and bars in many countries sell tickets in their own currency. Buyers pay by card, Apple Pay, Google Pay or a local payment method where one is available. The booking fee depends on the ticket price and the event's country.

Buyers pay online by card, with a wallet such as Apple Pay or Google Pay, or with a local payment method where one is available. At the door, your team takes cash, or a tap of a card, phone or watch on a compatible Android phone.

Your Ticket Types table shows the exact booking fee for every price you enter, so you know what buyers pay and what you receive before you go on sale. A brand team promoter on a fixed commission can have an amount in each currency you sell in.

[See the ways buyers pay for your nights](https://www.ticketfairy.com/features/payments-and-payouts)

## Can guests reserve a table online?

Yes. Your event page is your nightclub booking engine: guests choose a booth and their party size, then pay a deposit or the whole price online, alongside their tickets and the guest list. Each reservation goes through an identity check before the card is charged, and your door team sees the balance to pay when the host arrives.

Your event page lists each table under Reserve Tables, below the tickets, with its name, its price and a guests menu that runs from the minimum party to the maximum. The price rises by your per-guest price as the buyer adds guests, and Reserve Table takes them to checkout.

A buyer can hold one unconfirmed table at a time, and the booking is one ticket for the whole party, so the host shows one code at the door. A booking made through a promoter's link counts as that promoter's sale on Sales by Promoter.

[Let guests reserve a table on your event page](https://www.ticketfairy.com/guides/sell-vip-tables-and-bottle-service)

## What does a club pay for the guest list and bottle service?

Free guest list tickets carry no booking fee. Each paid ticket carries a booking fee that depends on the ticket price and your country, and you choose whether buyers pay it on top of your price so you keep the full ticket price. On a booth with a deposit, the booking fee is charged on the amount paid online, not on the balance you collect at the club.

You send guest list tickets from Guest Tickets with Send Guest Tickets. Each guest ticket comes out of the ticket type you pick and adds nothing to your takings, so many clubs make a Guest list ticket type with its own allocation and keep the comps apart from paid releases.

You choose who pays the booking fee on the Tickets page before your first ticket type. With Added, the default, buyers pay the fee on top and you keep the full ticket price. With Absorbed, the fee comes out of what you receive.

[Send free tickets to your guest list](https://www.ticketfairy.com/guides/issue-guest-tickets)

## Can someone get in on a screenshot of a ticket that has already been scanned?

No. Once a ticket is scanned in, scanning it again shows Already Checked In, with the time the guest went in and who admitted them, unless that ticket type allows re-entry.

On the night, Check-In shows your Refused scans. It lists every ticket your door turned away, by reason, entrance and hour, while the doors are open. Many tickets shown again at different entrances in a short time usually means a ticket was shared as a screenshot.

Each refused scan shows whose ticket it was, so you know which order the screenshot came from before the next person tries it.

[See why tickets were refused at your door](https://www.ticketfairy.com/guides/see-why-tickets-and-passes-were-refused-at-the-door)

## Can buyers refund their own tickets for a club night?

Yes. With self-refunds on, buyers refund their own tickets from their order page, on the refund terms you agree with Ticket Fairy, while Ticket Fairy still holds the night's ticket money.

The amount a buyer gets back can be the full face value, a percentage of it, the face value less a fixed amount you keep, or a flat sum. The ticket usually stops working straight away and goes back on sale, so a sold-out night can fill the place again.

You can turn self-refunds off at any time. Once your payout is released to you, self-refunds end for that night.

[Let buyers refund their own tickets](https://www.ticketfairy.com/guides/let-buyers-refund-themselves)

## What happens to tickets if we postpone or cancel a night?

If you postpone, buyers keep their tickets for the new date and you choose who can ask for a refund. If you cancel, Ticket Fairy refunds the event within one to two days, apart from any order it cannot refund.

Postpone from Event Details whenever a later date is possible, because a postponed night can still be canceled later and a canceled one is hard to bring back. Ticket Fairy emails every ticket holder when you confirm the postponement.

When you select Post an update for the night on Social Home, every scheduled promotional post for it pauses while an update post is drafted for each network you post on. When the new date is set, you resume the paused posts in one step.

[Change the date or call off a night](https://www.ticketfairy.com/guides/change-or-call-off-an-event)

## Can I see who keeps coming back to my nights?

Yes. Customers on your brand shows one row per person, with the nights they ordered for, the tickets they ordered and what they spent. Sorted by the number of nights, it puts your regulars at the top.

It sits under Customers on your brand. Complimentary tickets do not add the recipient to Customers, so the list shows the people who paid. Each order also carries a New or Returning badge, so your team knows when they are talking to a regular.

An access code sent to your regulars a day before the public on-sale lets them buy first. Fai can tell you how many of last month's buyers came back and which nights bring the most regulars back.
