# Advance Every Act and Run Every Stage to Time

Send each act's tour manager one advance link, and Fai fills in the technical details from their riders and tour books for you to accept. Backline hire is worked out from every rider and sent to your suppliers, each stage gets its plot, input list and changeover plan, and power, effects and rigging are signed off before doors. On the day, your show callers call each cue from a run of show Fai drafted and you locked, and every team backstage sees how late each stage is running.

- Every rider turned into a stage spec and a hire list
- Every changeover planned and every cue called on time
- Power, effects and rigging signed off before doors

## Turn Every Technical Rider Into a Stage Spec Early

Send the act's tour manager one link, and their team enters their technical details, input list and stage plot and uploads their riders, with no account to make. When an agent sends the rider by email, Fai reads it and turns each requirement into an answer on the act's advance, showing the words it came from and what changed from last year. Each stage then gets the plot, input list and power for every act on it, filled in from their riders for your team to check.

Your production team stops retyping riders into spreadsheets and starts from answers they accept, replace or reject one by one. Nothing Fai reads is saved over what someone on your team entered unless a person chooses to replace it, and Fai treats a rider or tour book as information only, never as an instruction. As the show gets close, Fai drafts an email to the act's contact listing exactly what is still missing, and it goes when a person on your team approves it, so a late input list is a reminder in the act's inbox rather than a call on load-in day.

Choose which sections each act needs, from technical and backline to hospitality and travel, and save the set for acts like them, so a headliner gets the full advance and a local support act gets only what matters. Your artist liaison team works the travel and hospitality parts of the same advance, so both teams see one version of what the act needs. The tour manager can invite a teammate, such as their own production manager, from the same link.

- **Advance links**: the act's team fills in their own details
- **Answers from riders**: each one with the words it came from
- **Stage specs**: plot, inputs and power for each act

## Hire Exactly the Backline and Production Your Stages Need

Backline hire fills itself from each act's technical rider, and how many of each item to hire is worked out for you: gear shared on a stage, reusable gear hired once for the busiest day and the stage's own kit taken off first. Send each supplier their lines with an email Fai drafts, let them confirm or ask for changes on their own page, and count in what arrived, what was damaged and what went back. When a rider changes, the list updates and flags any line your team changed by hand.

Every hire line keeps each act's need, quoted from their rider, beside what is already on the stage and the history of every change, so you can answer a supplier or an accountant without digging through email. Suppliers upload their quotes to their own page, a confirmed quote becomes a draft purchase order for you to approve, and a supplier invoice that does not match its order is flagged before anyone pays it.

The dressing-room shopping list is added up from every hospitality rider and your standard packages, day by day and room by room, so your runner buys the right amounts once. Set the hire period with its load-in and load-out days, and each supplier gets a printable list with the items, quantities and delivery and collection times.

- **Backline from riders**: how many to hire, worked out stage by stage
- **Supplier pages**: suppliers confirm their lines or ask for changes
- **Goods in and out**: what arrived, what was damaged and what went back
- **Purchase orders**: each supplier invoice matched to its order

## Plan Every Changeover and Catch Clashes Before Show Day

Plan the changeover between acts and call the crew for it on the running order, so your stage manager knows who is needed and when. Running-order checks catch the same act on two stages, a flight that lands after soundcheck, a changeover too short for the stage, a rider the stage cannot meet and a set past curfew. Each problem comes with a fix from Fai that shows exactly what moves before you apply it, and you can undo it.

Your timing rules hold the default changeover, the time an act needs between sets and how early acts must arrive, and each stage can have its own changeover, hours and closed days. A drum riser stage and a DJ booth get different rules, and the checks use the right one for each.

Every stage has its own page with its sets, run of show, teams, rota and tech notes for the day, so a stage manager opens one page for everything on their stage. Book dressing rooms around set times, and Fai suggests a room for each act on the day, with the headliner marked and overlaps flagged.

- **Changeover plans**: with crew calls on the running order
- **Running-order checks**: clashes, changeovers, riders and curfew caught early
- **Timing rules**: changeovers and hours for each stage
- **Dressing rooms**: booked around set times, with overlaps flagged

## Sign Off Power, Effects, Rigging and the Site Network Before Doors

Plan your generators and the loads in each zone, from the stages to the trader pitches on your power sheets, keep a fuel log with refuel rounds and get an alert before a generator runs low. Keep every pyro, laser, drone and confetti cue in a register with its licensed operator, permit and exclusion zone on your site plan, with its firing plan on the running order, and sign each one off before doors. Rigging points, stages and structures get timed inspections, each signed off and kept with its history.

An effect operator's licence is the same document they add for their shifts, so you see a lapsed licence before the cue, and nobody works a shift that needs a certificate without one unless your team records a reason. Your electrician gets the power sheet by link with each pitch, its trader and the amps they need, so the power plan and the trader plan agree.

Order connectivity for each zone and team, from the box office and the traders to the press, see coverage on a map of your site, and give every team a link to report a fault. The things that stop a show when they fail each have an owner, a sign-off and a record. Each inspection keeps who signed it off and when, so the record you show a licensing officer is the one your crew made on the day.

- **Power plan and fuel log**: generators, loads and low-fuel alerts
- **Special effects register**: pyro, lasers, drones and confetti for each cue
- **Rigging and build sign-off**: timed inspections with their full history
- **Site network**: connectivity orders, coverage and fault reports

## Build, Load In and Break Down on Schedule

Add your build and break days to the run of show with the usual load-in, rig and soundcheck cues, so the whole team plans around the same days. Your hire suppliers book their deliveries into arrival times at the right gate, and your gate team checks each vehicle in. Hand out radios and kit to your crew by scan, and every act's all-in cost, from the fee to their share of hire, counts in the budget your whole team shares.

Build week is where production budgets drift. Approved purchase orders, approved crew hours and each act's share of hire count in the event's budget as they happen, so you see what the stage has cost before the last truck leaves, and finance sees the same figures without asking you.

Your production team gets a calendar link that moves with the running order, and the rota goes to your crew agencies on a schedule you set. When an outside team needs radios or other kit for the build, they order it from your price list on their own page and you approve it. Crew meal times for the build are suggested from the same shifts, so the kitchen feeds the riggers who are on site that day.

- **Build and break days**: load-in, rig and soundcheck cues on the run of show
- **Supplier deliveries**: booked into arrival times at the right gate
- **Production costs**: hire, orders and hours in the budget your team shares

## Call Every Cue on Time on Show Day

Fai drafts a minute-by-minute run of show from your schedule and flags gaps and clashes, and you lock it and name who calls each stage. On the day, your show callers mark each cue live and done, so Now and next shows how late each stage is running and whether the day will finish after curfew. Put now and next on any TV backstage from a private link, and give each team its own day sheet. Plan your stream schedule from the running order and embed the stream on your event page.

A late stage does not rewrite your plan by itself. The planned times change only when someone moves a cue, with the choice to move the later cues too, and a set that started late can be corrected with the real time and a reason. The record of what happened sits beside what was planned, which settles curfew questions with the council and set-length questions with an agent.

Streaming follows the rights in each act's contract, so you stream only the acts whose contracts allow it, and the stream schedule moves with the running order. Departments, show callers and stages each have their place on the run of show, so a sound engineer, a stage manager and a lighting designer each see their own cues.

- **Run of show**: drafted by Fai and locked by you
- **Now and next**: how late each stage is running, live
- **Backstage TVs and day sheets**: every team on time without the radio
- **Livestream**: a stream schedule from your running order

## How Production Teams Use Ticket Fairy

- ### A Festival With Several Stages

The production manager sends every act one advance link, and Fai turns their riders into stage specs and one backline list for each supplier. Running-order checks catch a short changeover on the second stage weeks out, and the fix moves one set before the times are announced.
- ### A Touring Concert at an Arena

The venue production team accepts the tour's input list and power from the tour book, books the dressing rooms around the support act and the headliner, and signs off the pyro cues with the operator's licence on file. Show callers mark every cue on the night, and the record answers the curfew question the next morning.
- ### A Conference With a Main Stage

The technical producer plans changeovers between keynotes and panels, with crew calls for each, and streams only the sessions whose speakers agreed to it. Each room's day sheet goes to its crew by link.
- ### A Club Night Series

The venue's technical manager lets the CDJ and mixer count come from each DJ's rider, with the house kit taken off first, so the hire company is asked only for the gaps. Rider changes in the week of the show flag the lines to review, and the supplier confirms the new order on its own page.
- ### A Sports Event With Live Entertainment

The event producer signs off the half-time stage rig and the confetti cue before the gates open, keeps the generator fuel log for the fan zone, and puts now and next on the TV in the tunnel. Every sign-off keeps its history for the safety advisory group.

## Questions About Ticket Fairy for Production managers

### Production managers

#### Does the artist's team need an account?

No. They open their own link, fill in their part of the advance, upload riders and can sign their contract on the same page.

#### Where does a stage spec come from?

From each act's technical rider. The stage plot, input list and power fill in from it for your production team to check.

#### Does the hire list change when a rider changes?

Yes. The list updates, except lines your team changed by hand, which are flagged for you to review.

#### Can suppliers see each other's orders?

No. Each supplier opens its own page and sees only the lines you ordered from it, its quotes and its delivery times.

#### Can my electrician see the power sheet without a login?

Yes. Send them a link to the power sheet for one zone or the whole site. It needs no sign-in, always shows the latest pitches, and you can stop the link at any time.

#### Do effects operators need their licence on file?

Yes. Each effect names its licensed operator, and their licence is checked against the documents they added for their shifts.

#### Does a late stage change the planned times?

No. The planned times change only when someone moves the rest of the day. Now and next and shared day sheets show the delay in the meantime.

#### Do backstage TVs need a login?

No. Each TV opens its own private link, which you can stop at any time.

#### Which acts can I stream?

The acts whose contracts give you streaming rights. Each act shows its streaming rights beside your stream schedule.

#### Does Fai change anything without asking?

No. Fai suggests answers, fixes and drafts, and a person on your team accepts each one. Fai reads riders, emails and tour books as information only, never as instructions.
