## How do we keep track of each sponsor deal?

Each sponsor joins the event it pays for, with its tier, its cash amount, its in-kind value and the deliverables you promised. You then move it from Prospecting through Committed, Contracted and Paid to Fulfilled as the deal progresses.

On the event, you select Operations, then Sponsors, and select Add sponsor. If Sponsors is not in the list, More sections opens it. You choose the Tier, from Presenting, Platinum, Gold, Silver and Bronze to Partner, Media, In-Kind and Community, and enter the Cash amount and In-kind value. You list each deliverable, such as a logo on the stage screens or a branded bar.

Each row offers the next step, such as Mark committed or Mark contracted, and a deal can also end as Declined or Lapsed. Sponsor values go into your event budget as income, with cash and in-kind kept apart, and a sponsor that declines or lapses drops out of the budget by itself.

[Keep each sponsor deal and deliverable on track](https://www.ticketfairy.com/event-operating-system/exhibitors-and-sponsors/exhibitor-leads-and-sponsor-results)

## Which currencies can I record a sponsor deal in?

US dollars, pounds sterling, euros, Canadian dollars and Australian dollars, for both the cash amount and the in-kind value.

The Currency on each sponsor records the cash amount and in-kind value in it. Your event budget keeps each currency's total apart, so a euro deal never hides inside a pounds figure.

To be paid by an overseas sponsor in their own currency, you can open a receiving account in Vault in their country and put its details on your invoice.

[Get paid for your events in local currencies with Vault](https://www.ticketfairy.com/guides/receive-money-in-global-accounts)

## Can we give each promised deliverable to someone on our team?

Yes. On the sponsor's row, Create tasks from deliverables puts each deliverable on the event's task board for you to give an owner. Deliverables already fulfilled are skipped, so running the step again never adds duplicates.

Each task gets an owner and a due date, so the logo on the main stage and the activation in the food court are each someone's job. Each person sees their sponsor jobs beside their other event jobs, and nobody forgets a promise in the rush of show week.

On the sponsor, you move each deliverable from Pending to In progress to Fulfilled, and the sponsor's own page shows how many are done.

[Keep your event tasks on track](https://www.ticketfairy.com/guides/keep-your-event-tasks-on-track)

## Can Fai add and update sponsors for us?

Yes. Fai can create a sponsor with its tier, cash amount, in-kind value, contact and deliverables. She can update its details and move it from one stage to the next. She shows you each change and asks you to approve it before she makes it. If a colleague changed the sponsor in the meantime, Fai catches it, so neither of you loses work.

You can ask Fai in your own words, such as add Brightline Energy as a Gold sponsor at £20,000 with a logo on the main stage, or move the radio station to contracted. She shows you the change and waits for your yes before she saves it.

Each change to a sponsor keeps a version history, and you see when a colleague has the same sponsor open. If someone saved first, Fai tells you rather than overwriting their work.

[See what Fai can do for your sponsors](https://www.ticketfairy.com/event-operating-system/exhibitors-and-sponsors/exhibitor-leads-and-sponsor-results)

## Can a sponsor check their own results without logging in?

Yes. When the sponsor is linked to an outside team on your event, they open their page from a link, with no account to create, to see their deliverables and their tracking link results. A new page link stops the one before, and each link works for 120 days.

You add the sponsor to your event's Outside teams, and Fai can link the sponsor to that team and to its tracking link. On the team in Outside teams, you then select Email the link under Page link, or Copy a new link to send it yourself.

The page opens on any phone or computer with no sign-in. It shows the deliverables you promised and how many are done, and the clicks, orders and revenue through the sponsor's tracking link. The same page is where the sponsor's team names its people for passes and sends you its insurance.

[Give a sponsor its own page for your event](https://www.ticketfairy.com/guides/let-outside-teams-name-their-own-people-for-passes)

## How do we show a sponsor how many tickets their posters and newsletter sold?

The sponsor gets a tracking link and QR code for each channel. Under Marketing on your event, Tracking Links has Create Tracking Link, where you name it after the sponsor and its channel, then copy its address or select Download QR for their posters.

The table shows each link's Number of Clicks, Orders and Revenue, busiest first, and Copy table puts it on your clipboard for the sponsor's report. One link for each channel, such as the sponsor's newsletter and their in-store posters, shows which one sold.

Promoter (optional) stays empty for a sponsor's link, so the sales count as the sponsor's results rather than a team member's. Once Fai links it to the sponsor, its clicks and sales show on the sponsor's own page.

[Track which promotion sold your tickets](https://www.ticketfairy.com/guides/track-which-promotion-sold-your-tickets)

## Does a sponsor's tracking link show what buyers paid or what we receive?

What you receive. Revenue on a tracking link is your share after Ticket Fairy's fees, not what the buyer paid. A sale counts when the buyer opens that link and buys in the same browser. Tracking links belong to one event, so create one for each event a sponsor supports.

A buyer who opens the sponsor's link on their phone and buys later on a laptop is not counted, because the sale counts only in the same browser. Orders count from the moment they are placed, and a refund lowers Revenue while the order stays in the count.

A sponsor who supports your whole season needs one link on each event. Each table copies into one spreadsheet when you report the season back to them.

[Read the clicks, orders and revenue on each tracking link](https://www.ticketfairy.com/guides/track-which-promotion-sold-your-tickets)

## Can we make an event page just for a sponsor's customers?

Yes. An alternative view of your event has its own address, name, images and description written for the sponsor's customers. Every ticket it sells comes out of the same event and the same capacity.

On your event, you select Edit, then Details, and select Create Alternative View under Alternative Views. You enter the sponsor under Alternative View Purpose, which buyers never see, and the last part of the page's address under Alternative View URL. Override Event Name and the other overrides cover anything the page should show differently.

You add the ticket types the page sells, such as a package made for the sponsor's customers, and turn on Show in main event for any that your main page should keep. You select Create View, then copy the page's address into the sponsor's email or post. Pair the page with the sponsor's tracking link to count what it sold.

[Create extra landing pages for your event](https://www.ticketfairy.com/guides/create-extra-landing-pages-for-your-event)

## Can a sponsor's customers get a special price?

Yes. A promotion carries a code for the sponsor, and you choose the discount: a percentage off, an amount off or a Fixed Price you agreed with them. Its customers enter the code at checkout.

On your event, you select Marketing, then Promotions, and select Create promotion. You add the code, select Add tickets to choose the ticket types it applies to, then choose the Pricing Adjustment. You can cap how many times the code can be used, and set a Start time and End time under Schedule Promotion (optional) for an offer that runs only during the sponsor's campaign.

The list of promotions shows how many times each code was used. Several codes on one promotion share its discount and limits, which suits one deal sent to several partners who each want their own code.

[Create promo codes for your event](https://www.ticketfairy.com/guides/create-promo-codes)

## Does the sponsor need an account to see live sales?

Yes, for a sales report link. Your sponsor signs in with a Ticket Fairy dashboard login of their own when they open the link. They do not need a role on your event, and they see only the report. Anyone signed in to Ticket Fairy who has the link can open it, so send it only to the person it is for.

On your event, under Settings, you scroll to External/3rd-Party Sales Reporting. You enter a Name, choose each ticket type and add-on the sponsor has a stake in, such as a hospitality package they co-branded, and turn on Hide Breakdown by Date to share totals only. You select Generate Sales Tracking Link and click the new link to copy it.

Your sponsor sees the number sold, the stock left and the revenue for only those ticket types, and the page refreshes every ten seconds. A sales report link sells nothing, so it credits no sale to anyone.

[Share a live ticket sales report with a sponsor](https://www.ticketfairy.com/guides/share-a-live-sales-report)

## Where do the job titles, employers and ages come from?

Ages, devices, locations and repeat buyers come from your own completed orders. Gender and professions come from an audience match that runs after your first sales. They usually appear within about 24 hours. None of it is a modeled panel or a bought-in lookalike audience.

On your event, Demographics shows it. The report shows your buyers by gender, exact age and age band, and Professions lists their job titles and employers side by side. Copy table puts either table on your clipboard for your sponsorship deck. Devices, under Demographics, shows what buyers ordered on.

Age data appears as soon as buyers give a date of birth. The age total counts buyers who gave one, so compare the bands with each other rather than with your total ticket sales.

[Read your audience demographics](https://www.ticketfairy.com/guides/read-your-audience-demographics)

## Can we show a regional sponsor how many of our buyers live in its area?

Yes. Geographics on your brand shows it. It ranks the countries and cities your buyers order from, across all your events, one series, one venue, one city or the events you choose.

Under Show buyers for, you choose All events, An event series, Specific events, One venue, Events in a city or Events in a country. The figures at the top show the orders, the number of countries, the leading country and the leading city, and the tables under the chart list each place.

The report reads the billing addresses on your orders, so it shows where buyers are based, not where the events took place. Specific events adds up two editions of the same show for a sponsor who backed both.

[See where your event audiences are strongest](https://www.ticketfairy.com/guides/see-where-your-event-audiences-are-strongest)

## Can we show a sponsor how loyal our audience is?

Yes. Customers on your brand puts each buyer's orders across all your events on one row, with how many of your events they bought tickets for and what they spent. A sponsor sees the audience a multi-year deal reaches.

On your brand, you go to Customers. The list starts with the biggest Revenue impact first, and # of events shows how many of your events each buyer came to. Each row opens the buyer's orders.

Fai can tell you which age band bought the most or where a series' buyers come from, and she answers with the figures and a chart you can take into the meeting.

[Understand who buys tickets across your events](https://www.ticketfairy.com/guides/understand-who-buys-tickets-across-your-events)

## How do we keep a sponsor's contracted tickets out of the public on-sale?

Held on the ticket type, they never appear in your public on-sale. On the ticket type, you turn on Hold tickets, enter the sponsor under Hold for and the number in Quantity of tickets, then save.

Holding back from a ticket type buyers already know sends any tickets the sponsor never uses back on sale. Each reserve gets its own hold, such as the sponsor's allocation, the artist's guest list or a radio giveaway, named after who it is for. The name cannot be changed once the hold is saved.

You can send the held tickets to the sponsor's guests from the reserve when you know who they are, or give the sponsor a delegation so they add their own guests up to the number you set.

[Hold back tickets for later](https://www.ticketfairy.com/guides/hold-back-ticket-stock)

## Can a sponsor hand out its own guest tickets?

Yes. A delegation for the sponsor holds the ticket types and the number they can hand out. They add their own guests from their own sign-in link and cannot go past the number you set.

On your event, you select Delegations and select Create Delegation. You enter the sponsor as the Delegation Name, then select Add Ticket for each ticket type, with its Quantity. Add User adds each person at the sponsor who books guests, and they share the one allocation.

Manage Access, then Copy access link beside a person's name, gives you their link. Saving also emails each of them their invitation once your event is published. You can raise the quantity later if the sponsor needs more, and they carry on from where they stopped. The sponsor never sees your sales, your buyers or the rest of your event.

[Let a partner hand out their own tickets for your event](https://www.ticketfairy.com/guides/let-a-partner-hand-out-their-own-tickets)

## How many people can a sponsor name for passes at once?

Up to 200 people at a time, within the allowance of passes you gave them. They can type the names in, paste a list or upload a CSV or Excel file. Each pass waits in Accreditation for your usual checks before the person gets it.

On the event, you select Operations, then Outside teams, and open the sponsor's team. You select Give passes, enter the Number of passes, choose the Pass type and when Names by closes, then select Give passes. Under Page link, you select Email the link.

The sponsor's contact opens the page with no sign-in, in their own language, and adds each person with Add a person or Add a list, with no template. Back in Outside teams, Still needed shows which sponsors still owe names. When their passes go out, the contact gets one email listing everyone whose pass was sent.

[Let outside teams name their own people for passes](https://www.ticketfairy.com/guides/let-outside-teams-name-their-own-people-for-passes)

## How do an exhibiting sponsor's staff collect leads at their stand?

Each person on the booth gets a scanner link for their phone or tablet. They scan each visitor's ticket or badge, tap a rating and add notes, and the visitor joins the sponsor's leads.

On the event, you select Operations, then Exhibitors and Leads, and select Open beside the sponsor. Under Booth staff, you select Add staff, then Give a scanner link beside each person, or Make a shared booth link for a tablet on the stand. Booth staff scan with a USB or Bluetooth scanner, or enter the code printed on the badge.

Booth staff see names, ratings and notes only, never an email address or phone number. Under Lead setup, you choose the sponsor's rating words, such as Ready to buy and Follow up, and its tracking link. Fai then drafts a follow-up email to each visitor who can be contacted, for the sponsor to approve.

[Give exhibitors a lead scanner for their booth](https://www.ticketfairy.com/guides/give-exhibitors-a-lead-scanner-for-their-booth)

## Can an exhibiting sponsor take its leads away?

Yes. The sponsor downloads its leads from its own page, and each time the list is opened or downloaded it is recorded. Email addresses and phone numbers show only for visitors who can be contacted, and each visitor gets one follow-up email at most.

You make their team page on the sponsor's leads, then send it with Email the link from Outside teams. On its page, the sponsor sees its Leads, Follow-ups, Booth staff, Results and Ratings, and selects Download leads whenever it wants them.

Results show the leads by rating, how many can be contacted, who on the booth met the most visitors, the follow-ups sent and the clicks and sales through the sponsor's tracking link. People at the event met is the share of checked-in people the booth scanned, which is the figure to open a renewal with.

[Let exhibitors follow up their leads and see their results](https://www.ticketfairy.com/guides/let-exhibitors-follow-up-their-leads-and-see-results)

## How do we start invoicing sponsors from Vault?

A brand owner opens the Vault account for your brand and finishes a verification check. Only brand owners use Vault. The Ticket Fairy, Inc. is a technology platform and is not a bank. Vault banking services are provided through regulated banking partners.

You select your brand and open Financial setup, then work through Business, Activity, People and Documents and select Submit for verification under Review. Vault shows We're checking your details while it verifies the account.

Once the account is Active, Invoices appears in the Vault menu. Opening Vault does not change where your ticket payments are processed. If Vault is not in your brand's menu, Ticket Fairy support can switch it on.

[Open a Vault account to hold your event money](https://www.ticketfairy.com/guides/open-a-vault-account)

## How do we invoice a sponsor in stages?

Each stage can be its own Vault invoice, such as a deposit on signing and a balance before the event, each with its own due date. The Invoices tab shows which ones are still unpaid.

In Vault, you select Invoices. The sponsor goes in once on the Customers tab with New customer, so next year's invoices start with their details. With New invoice, you choose the customer, the Currency and a Due date, and enter a Memo the sponsor sees, such as Deposit for the Gold package. On the draft, you select Add item, then Finalize it from the draft's menu.

On the finalized invoice, Copy invoice link gives you the link to paste into your email. It reads Finalized and Unpaid until its payment is recorded. You move the sponsor to Paid on your event when the money arrives, and approve the reminders Fai prepares for invoices that are overdue.

[Invoice sponsors and partners for your event from Vault](https://www.ticketfairy.com/guides/manage-vault-invoices)

## Can many local businesses buy a sponsorship package without an invoice each?

Yes. A Vault payment link for the package can be shared with every business. Each business pays on the link's page, and the money arrives in your Vault balance in the link's currency.

In Vault, you select Get paid, then Create a payment link. You enter what the payment is for, such as Community partner package, the Amount to pay and the Currency, and choose Many times so every business pays from the same link. Under More options, you choose the event and the last day to pay, up to a year ahead.

You select Create link, then Copy link and paste it into your email. Payment links lists how many times each link was paid and what it Collected. When the package is sold out, you turn the link off.

[Collect sponsorship with Vault payment links](https://www.ticketfairy.com/guides/get-paid-with-vault-payment-links)

## Can sponsor emails show up on the event without anyone forwarding them?

Yes. Once your brand's Gmail or Outlook mailbox is connected, Fai files each conversation about the event into its Inbox a few minutes after it arrives. The notetaker joins calls from a link you paste, or from your connected calendar.

On the event, you select Operations, then Inbox. Each conversation shows Fai's summary and labels for how urgent it is and what it is about, and Reply by email starts a reply from your own mailbox, so the thread stays there.

Under Follow-ups Fai found, Add as task puts a promise from the sponsor's email on the task board. Connected mailboxes at the top of the Inbox shows each mailbox your brand connected and when Fai last checked it. Ticket Fairy support connects the mailbox for you.

[Read your event's email in one inbox](https://www.ticketfairy.com/guides/read-your-event-email-in-one-inbox)

## Can Fai take notes on our sponsor calls?

Yes. Fai's notetaker can join your Zoom, Google Meet or Microsoft Teams call with the sponsor. After the call you get a summary, the follow-ups agreed and notes you can share with everyone who was on it.

On the event, you select Operations, then Meetings, and select Send the notetaker. You paste the call link into Call link, enter a Name of the call, such as Renewal call with Brightline, and select Send the notetaker before the call starts.

Each call shows Waiting to join, Recording, then Notes ready. A call marked Notes ready shows the Summary, the Follow-ups agreed on the call, with who took each one on and by when where the call made it clear, and the Notes to share.
