Fill Every Fixture and Keep Every Crowd Safe

Clubs, leagues and sports event organisers sell matchday tickets, seats and season passes, then fill the stands with fans and the gates with stewards. Put each fixture on sale from the same setup, let your fans book every home game with one pass, and give the visiting club an allocation their supporters buy from. When weather or a cup run moves a match, postpone it with every ticket holder told. On the day, your stewards scan tickets on their own phones and your control room sees how full each zone is.

Put Every Fixture on Sale From the Same Setup

Set up your first match with a ticket type for each stand or area of the ground and a concession price for juniors and seniors, then duplicate it for the next fixture, and the sale windows and gate times move with the new date. Group your fixtures into an event series with its own public page, so fans see every home game together. Sell numbered seats from your stadium's seat map, or a place in each stand at its own price with no map to draw. Schedule each match's event page to go public on the minute you announce the fixture.

Areas of the ground suit a club that sells a stand rather than a seat, with a price for adults, juniors and seniors in each. A numbered seat map suits a ground where fans choose their seat, with price zones and accessible seats marked. Each fixture keeps its own event page, tickets and sales, so a cup tie can carry different prices from a league game and a derby can open later than the rest.

An event series gives fans one page to bookmark for every home game, and a naming rule adds each new fixture to the series as you create it. Duplicate the last match, enter the new date, and the sale windows and gate times move by the same number of days, so the next fixture is ready to check and publish in minutes.

  • Areas of the ground: a category for each stand, with its own prices
  • Seat maps: numbered seats, price zones and accessible seats
  • Event series: a public page for every fixture
  • Duplicate event: the next fixture from the last one

Sell Season Passes Before the Fixtures Are Out

Sell one pass that covers your whole season, or a bundle of matches, and fans book each match as you announce it. Attach your event series and every fixture in it counts, including the ones you have not created yet. Choose whether each pass books the cheapest ticket or the one you pick for each match, and when it expires. Sell parking, programmes and a matchday meal as add-ons with the ticket, and hospitality tables for a sponsor's guests with a deposit online and the rest collected on the day.

A season pass brings the money for the season in before the first whistle and gives your most loyal fans a reason to commit early. A smaller bundle suits fans who come to some games and not others, and a pass can expire on a set date, some months after each purchase or never. Archive a pass to take it off sale, and the passes fans already bought stay valid for booking.

Hospitality tables give a sponsor or a business a table with its own guest limit and sale dates, and you approve the share taken online as a deposit. A group discount gives a junior club or a school a lower price once the basket holds enough tickets, without a code for each group to remember.

  • Season passes: one purchase that books every match
  • Matchday add-ons: parking, programmes and meals with the ticket
  • Hospitality tables: a deposit online and the rest on the day
  • Group discounts: a lower price for junior clubs and schools

Give Visiting Clubs Their Allocation and Keep Tickets With Your Fans

Give the visiting club an allocation of its own, and the club sends its supporters invitations to buy from one sign-in link, without going past the number you set or seeing your sales. Hold seats back for players' families, sponsors and the league, and they stay out of the public on-sale. Limit how many tickets one order and one account can buy for a big match, put a name on every ticket and keep resale on your own event page at face value. When a match sells out, fans join your waiting list and each returned ticket goes to the next fan in line.

The visiting club's ticket office works from its own link, so away supporters buy from their own club and sit in the away end, and you raise or lower the club's limit as the fixture approaches. Lowering it below what the club has already handed out stops further invitations without taking any tickets back. Held seats stay out of the on-sale until you release them, so the league's and the sponsors' seats are never sold by mistake.

For a derby or a final, purchase limits spread tickets across more fans and names on every ticket make each one traceable to a person. When a fan resells, the new holder gets a ticket in their own name and the old code is refused at your gates, so a resold ticket cannot be used twice.

  • Club allocations: the visiting club invites its own supporters
  • Hold tickets: named reserves kept out of the on-sale
  • Face-value resale: returned tickets resold on your own event page
  • Waiting list: the next fan in line gets the next ticket

Move a Fixture Without Losing Your Fans

When weather, a cup run or a broadcaster moves a match, postpone it from its event page, and every ticket holder is emailed when you confirm. Hide the new date while the league confirms it, or show it straight away, and a postponement notice stays on your event page until the date you choose. Choose who can ask for a refund: every ticket holder, only those who bought before the postponement, or nobody, so your team decides how generous to be for each fixture.

A postponement keeps every order, so the money stays with the fixture while you agree the new date. Once the date is confirmed, put it on the event page, and ticket holders are emailed again. A fan who cannot make the new date can pass their ticket on at face value, so the seat is still filled when the match is played.

When a match is called off for good, cancel the event, with a warning before you confirm that the step cannot be undone. Fai drafts the emails to your ticket holders for you to read and approve before they go, so the message on a wet Saturday morning is clear and sent quickly.

  • Hide or show the new date: announce the change while the date is agreed
  • Refund choices: everyone, earlier buyers or nobody

Have Every Steward and Volunteer in Place Before the Gates Open

Plan shifts for stewards, volunteers and gate staff by team and hour, and Fai lists who fits each open place from the people who work your events. Send offers, and the first person to accept takes the place. Give stewards, media and each club's staff a pass with the zones and days it opens, and your staff gates refuse a pass for the wrong zone and say why. Hand passes out at your desk and see who is on site at every gate.

A steward shift can carry the skill and the minimum age the role needs, and Fai offers it only to people who fit. When a security contractor supplies your stewards, give their shifts the contractor's name and a cost per hour, and the hours each person worked come to you for approval with totals for each outside team.

Approval rules send each press pass request to your media officer and then to your safety officer before the pass is issued, and the person who asked sees the reason when a request is declined. The pass desk works from a phone, and each pass shows its zones, days and meals when it is scanned for hand-out.

  • Shifts and offers: the first person to accept takes the place
  • Accreditation: zones, days and meals on every pass
  • Staff gates: a pass for the wrong zone refused with the reason
  • Hours by outside team: contractor stewards approved at their cost

Keep the Gates Moving and Every Zone Safe on Matchday

Your stewards scan tickets on their own phones with the Entry Fairy app, and a ticket scanned at one entrance shows as already checked in on every other phone. Give hospitality guests their own gate opening times, and sell tickets to walk-ups from the same app. Your control room runs the day from one live log, sees how full each zone is from the scans at your gates, and hears from Fai before a zone reaches its safe capacity. Link wind, lightning and heat warnings to the steps in your emergency plan, and keep a private medical log for your first aid team.

Each steward signs in to the scanning app with their own Door Staff login, so every admission carries a name and a refused scan comes with its reason. Walk-ups pay with cash or a tap of a card or phone on the steward's phone, so the ticket office queue does not hold up kick-off.

Every entry in the control log has a team, a zone and a full history, from the first report to the moment it is closed. Fai suggests a step when a zone fills, such as holding an entrance or opening an overflow area, and a person in your control room decides. Medical encounters are open to your medical team and your event's owners and admins, and everyone else sees anonymous counts.

How Sports Organisers Use Ticket Fairy

  • A Lower-League Football Club

A football club sells each stand as its own category with adult, junior and senior prices, and duplicates each fixture from the last. Season passes go on sale before the fixture list is out, and every new home game joins the series page as the club creates it.

  • A Derby With an Away End

A club gives the visiting club an allocation for its away end and holds seats for sponsors and the league. Home fans buy within a per-account limit, and returned tickets go to the waiting list at face value.

  • A Cricket Festival Moved by Rain

A cricket festival postpones a washed-out day with the new date hidden until the league agrees it. Ticket holders are emailed straight away, buyers before the postponement can ask for a refund, and the rest keep their tickets for the new date.

  • A Basketball Team Selling a Season

A basketball team sells a full-season pass and a smaller bundle, each booking the ticket the team picks for every game. Courtside hospitality tables take a deposit online, and parking sells as an add-on.

  • A Weekend Rugby Tournament

A rugby tournament staffs its gates with contractor stewards and volunteers, with Fai filling open places from the people who worked last year. Team staff and media get passes for the zones they need, and the staff gates refuse a pass for the wrong area.

Questions About Ticket Fairy for Sports events

Sports events

Ticket Fairy sets the seat map up with you. Without a map, sell a place in each stand with a ticket category for each one and a ticket type for each price.

From one to a hundred. Each booking uses one match of the pass, and a pass can expire on a set date, a number of months after each purchase or never.

No. Their link does one job: handing out the allocation you gave them. You can raise or lower their limit at any time, and lowering it below what they have already handed out stops them handing out more without taking tickets back.

You choose: every ticket holder, only those who bought before the postponement, or nobody, in which case your team handles each request. You can change the choice later, for example to close refunds once the new date is announced.

Outside India, each resale carries a 10% resale fee. The seller gets the ticket price back in full, and the fee is charged separately to their original card.

Accreditation passes are available for general admission events, such as a race, a tournament or a ground without numbered seats.

Yes. Set a group size on a promotion, and checkout applies the discount once the basket holds that many tickets. A basket carries one discount at a time, and on an event with a seat map the group discount counts seats.

No. Fai warns you and suggests a step, such as holding an entrance or opening the overflow, and a person on your team decides.

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each entrance before the gates open.
