## Who pays the booking fee on my theater tickets?

You choose, once for each show, before you create your first ticket type. With Added, buyers pay the fee on top and you receive the full ticket price. With Absorbed, buyers pay exactly the price on your poster and the fee comes out of what you receive.

On your event, you select Tickets and choose a card under Booking Fees on the Inventory tab. Added is the default on a new event. Absorbed suits a theater that advertises round prices in its season brochure, because the price on the brochure is the price at checkout. Added Later shows the ticket price on your event page and the fee at checkout, and is not offered for events in Australia, the United Kingdom or the United States.

The fee falls as a percentage as your prices rise, with a small minimum on low prices, and free tickets carry none. Your Ticket Types table shows the exact amount beside every Face Value you enter. Once ticket types exist, you cannot switch between Added and Absorbed, so decide before you build the house.

[Choose who pays the booking fee on your show](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

## When does the ticket money from my run reach me?

You choose when you set up your brand. With Paid out after your event, Ticket Fairy takes the card payments and pays you 10 to 15 business days after the event finishes. With Before your event, as tickets sell, buyers pay into your own payment processing account, so you get paid daily.

Paid out after your event needs nothing set up before you publish, so you can go on sale the same afternoon. Being paid as tickets sell needs your own payment processing account, and that account has to be Active before your tickets go on sale. The publish review shows which applies to the show in front of you.

A postponed performance is paid after it takes place, and pending refund requests and chargebacks extend the wait. It is worth checking Payout Details under your brand's Details before the run ends, because a payout already sent to an old account has to be recalled.

[Choose how and when you get paid](https://www.ticketfairy.com/features/payments-and-payouts/payment-accounts-fees-and-payouts)

## Who builds the seat map for my venue?

Ticket Fairy builds the seat map with you from your venue's layout and makes it available for your venue. You attach it to each show, link your ticket types and look after the seats yourself. The next show at the same venue uses the same map.

Your Ticket Fairy contact builds the map with you from your venue's layout and turns on reserved seating for your event. Your ticket types come first, because you link the map to their prices. The Configure Seat Map card on your Tickets page then gives you Link Ticket Types, Seat Blocking, Manage Seats and Manage Seat Map Events.

For your next show at the same venue, Attach Existing Map lets you choose from the maps available for your venue. Each event keeps its own sales and seat statuses on the map, so a new production starts with the house already drawn.

[Let buyers pick their own seat on your venue's map](https://www.ticketfairy.com/features/seating-and-timed-entry/reserved-seating)

## What happens to a seat while a buyer checks out?

It is held for that buyer, so another buyer cannot take it. If the buyer leaves or their checkout time runs out, the seat goes back on the map for the next buyer.

Buyers open your seat map, see every part of the house at its price and tap the seats they want. While they pay, nobody else can take those seats. A buyer who comes back to the map sees the seats other buyers have taken since, and each ticket in the finished order shows its row and seat.

A group discount works on a seated event too. Checkout counts the seats in the basket and applies the discount once they reach the group size you set.

[See how buyers choose their seats](https://www.ticketfairy.com/features/seating-and-timed-entry/reserved-seating)

## Can I remove a seat map from a show?

Only before ticket sales start. Once tickets have sold, the seat map stays on the event so each buyer keeps their seat.

Ticket Fairy can remove a map from an event that has no sales. Decide before your on-sale whether the show needs numbered seats. The seat map suits buyers who care which seat they sit in, and selling by area without a map suits a room that fills first come, first served.

You can go on sale by area today and add a seat map to the event later, before any tickets sell.

[Choose between a seat map and selling by area](https://www.ticketfairy.com/features/seating-and-timed-entry/reserved-seating)

## Will my buyers get a numbered seat if I start from the Theater show template?

No. The template's seated ticket gives buyers a place in a part of the house, such as the stalls. A seat map gives buyers numbered seats.

You create a new event and start from the Theater show template. It asks how you sell: one seat price, stalls, circle and balcony, or premium stalls on top. Say yes to concessions or an opening night, and you also get a concession ticket or a reception add-on, with a program add-on and door and last-entry times ready to price.

A stand-up night with tables starts better from the Club show template, and a one-room comedy club from the Concert template with seated chosen. The tiers, add-ons and settings any template builds are yours to rename and reprice.

[Build your show from the theater template](https://www.ticketfairy.com/guides/run-a-comedy-or-performing-arts-show)

## How do I set up every performance of the run?

You build the first performance, then select Duplicate Event for each further date and time. Each copy keeps the tickets, categories, add-ons and settings, so you change only the date and any price that differs, such as a matinee or a preview.

Each performance is its own event, so a sold-out Saturday never blocks a quiet Tuesday, and each night has its own comps, arrivals and report. The copy is a draft that buyers cannot see until you publish it, so check the sale windows, door times and last entry first.

Under Brand, you then select Event Series and Create Event Series. You name it after the show, enter the words every performance name contains and turn on Show this series on a public page. Buyers pick their date from one address you can print on the poster, and performances you duplicate later join the series on their own.

[Duplicated performances for each date](https://www.ticketfairy.com/guides/duplicate-an-event)

## Can I sell a theater season pass?

Yes. You can sell a season ticket that covers several productions. Holders book each production as it goes on sale. Professional theaters and community theaters set up their season pass the same way, with the expiry and the ticket each holder books chosen by you.

Under Event Passes on your brand, you select Create a pass. You enter how many productions one pass covers in Events per pass, then choose when it expires: on a set date at the end of the season, a number of months after each buyer pays, or never. You set the price, and the number for sale if you want a limit.

Under Which ticket does a pass book?, automatic books the lowest priced ticket that is neither hidden nor switched off, or you pick the ticket for each production yourself so a premiere is not booked at the price of an ordinary night. With your season's series attached, every production in it counts, including the ones you have not announced yet.

Where Event Passes is not switched on for your brand, the page tells you and offers to put you in touch.

[Sell a season pass that covers several productions](https://www.ticketfairy.com/guides/sell-a-pass-that-covers-several-events)

## Can I keep the best seats for press night and sponsors?

Yes. You can block the house seats, the sound desk position or the rows you keep for press, and release them when you are ready to sell. Or you can group seats into channels, such as Press and Sponsors, and send each guest an invitation to book from the seats you kept for them.

Seat Blocking shows the map with every seat's status, and Manage Seats changes the status of the seats you choose. On Predefined Invitations, each channel gets a name and a color, and you assign its seats on the map. The Recipients table lists every invitation with its seat and status, so you can resend one a guest cannot find or withdraw it to take the seat back.

When you send guest tickets on a seated event, you choose the seats on the map in the same form, so comps never land in seats you were selling. Fai can block the front two rows for press night, and she shows you the seats and changes nothing until you approve.

[Keep seats back for guests and your production](https://www.ticketfairy.com/features/seating-and-timed-entry/reserved-seating)

## How do I send critics and guests their comps?

On Guest Tickets, you enter each person's name and email against the ticket type and performance they are coming to, and select Send Guest Tickets. Each guest gets a ticket with its own barcode, and the guest list shows who has used theirs.

You can send up to 40 tickets to one person at a time, or upload a spreadsheet for a whole list. Guest tickets come out of the ticket type's stock like a sold one and add nothing to your takings, so allow for the seats you hold back for press in the allocation.

To take a comp back, you cancel its order from the Guest tab on Orders, and its barcode stops working at once.

[Send free tickets to your guest list](https://www.ticketfairy.com/guides/issue-guest-tickets)

## Can a school book a block of seats and pay by invoice?

Yes. You can take it as a group booking and send one invoice with the due date the school's terms give. The tickets are held from the moment you send the invoice until it is paid, and the school pays through the invoice's payment link.

On Group Bookings for the performance, you select New group booking and enter the school's name. You choose the purchaser, the teacher or bursar who receives the invoice and gives the tickets out, then add each ticket type and quantity. You enter the purchase order number and the payment terms the school works to, and can turn on sign-off when a discount needs a second pair of eyes.

With Raise invoice, you choose the due date, such as 30 days from today for Net 30 days. Ticket Fairy emails the invoice and its payment link to the purchaser. A draft booking holds no seats, so on a nearly full night hold the tickets back separately while the school's finance team signs the order off.

Where Group Bookings is not switched on, the Group Bookings page says so, and Ticket Fairy support switches it on for your brand.

[Sell a block of seats to a school and invoice them](https://www.ticketfairy.com/guides/take-a-group-booking-and-invoice-it)

## Can groups and coach parties get a discount without a code?

Yes. A promotion with an automatic group size, such as 10 tickets, makes checkout apply the discount by itself once a basket holds that many. Nobody has to find or type a code.

Under Marketing, Promotions, you select Create promotion. You add a code for your own reports, add the ticket types the group price covers and choose a percentage off, a fixed amount off or a fixed price. You then enter the group size in Auto-apply when cart reaches this many tickets (optional).

A second promotion with a larger group size and a bigger discount covers bigger parties. Group discounts never add together, and a basket that reaches both gets the one with the larger group size. The Redemptions column shows how many paid orders each one earned.

[Offer group discounts on your tickets](https://www.ticketfairy.com/guides/offer-group-discounts-on-event-tickets)

## What happens to a latecomer after the last-entry time?

Your door team sees the ticket refused and the reason. Front of house can seat the holder at the interval and check them in by hand from their order.

On each ticket type, you turn on This ticket type has different door times, then enter the Doors Open Time and Last Entry Time. A stricter last entry on stalls tickets than on the balcony keeps latecomers out of the sightlines. When the scanner refuses a ticket after its last-entry time, it shows the holder's area, so front of house knows where to seat them at the interval.

To admit the latecomer by hand, you open the ticket inside their order and set its status to checked in. A ticket admitted this way records nobody's name, so keep it for latecomers and a phone that has died.

[Set doors and the latecomer rule for each ticket](https://www.ticketfairy.com/guides/run-a-comedy-or-performing-arts-show)

## Can I move a buyer to another seat or another part of the house?

Yes. In their order, Change Seat on the ticket picks a free seat on your map, and Change Ticket Type above the tickets moves the whole order to another part of the house. The buyer keeps their order and their barcodes.

On Change Seat, you select the new seat on the map and select Save. The old seat goes back on sale. Change Seat appears on reserved seats for owners and admins, and Change Ticket Type also opens for support logins on the event.

Moving tickets charges nothing and refunds nothing, so agree any difference in price with the buyer first. Nothing is emailed, so tell the buyer yourself, or resend their tickets from the order so they have an up-to-date copy.

[Move a buyer to a different ticket type or seat](https://www.ticketfairy.com/guides/move-a-buyer-to-a-different-ticket-type-or-seat)

## Can buyers join a waiting list for a sold-out performance?

Yes. With the waiting list on, your event page shows a Join Wait List form once a ticket type sells out. Each ticket that comes back through resale or a refund is offered to the next person waiting for that ticket type.

Under Tickets, Settings, you turn on Enable waiting list after ticket sell-out and select Save Ticket Settings. Each offer goes by email with a link to buy at the ticket's current price, and it lasts thirty-six hours when the show is more than two weeks away, shortening to eight hours on the last day.

With each part of the house in its own ticket category, a returned stalls seat goes to someone waiting for the stalls. A new performance or release is not offered to the list by itself, so email Waiting list members from Messaging when you add one.

[Run a waiting list for a sold-out show](https://www.ticketfairy.com/guides/run-a-waiting-list)

## Can my audience earn money back for bringing friends to the show?

Yes. Everyone who buys an eligible paid ticket gets their own referral link by email and on their order page, and earns back part of their ticket price as friends buy through it. A new event starts at 10% back after 2 referred sales, 30% after 5 and the full price after 8.

On your event, under Tickets, then Settings, Disable Rewards System stays turned off under Rewards System. You set each of the three targets from 1 to 10 referred sales and the share of the ticket price each one earns back. With Show referral rewards upsell on, your audience sees what they can earn before they check out.

The targets are best set before your first sale, because the terms your audience saw when they bought stay fixed. The Influencers report lists each person's link clicks, referred sales, revenue and the reward they earned, so you can weigh what the rewards cost against the tickets they brought in.

[Reward buyers who bring friends to your event](https://www.ticketfairy.com/guides/reward-buyers-for-referrals)

## How do I refund a buyer who cannot come?

On Orders, you select Refund in the order's row menu and enter the six-digit code Ticket Fairy emails you. The face value goes back to the buyer's card, their barcodes stop working and the seats go back on sale, or to your waiting list.

Dashboard refunds are for the event's owner, and Ticket Fairy turns them on for your event when you ask. A dashboard refund returns the whole order's face value, and the booking fee stays charged. For a partial refund, Ticket Fairy support can help.

You can also turn on Allow customers to initiate refunds under Tickets, then Settings, so buyers refund their own tickets from their order page on terms you agree with Ticket Fairy. Either way, refunds stop once the event's money has been paid out to you.

[Refund an order on your show](https://www.ticketfairy.com/guides/refund-an-order)

## What happens to ticket holders if I postpone or cancel a performance?

If you postpone, ticket holders keep their tickets for the new date, and Ticket Fairy emails every one of them when you confirm. If you cancel, each buyer gets an email as their own refund goes through.

Postpone from Event Details whenever a later date is possible, because a postponed performance can still be canceled later and a canceled one is hard to bring back. You can postpone or cancel until the performance ends or its funds are paid out.

A postponed performance keeps every time you set separately, so move the last entry, door times and scheduled emails to the new date yourself. Your own message can go out the same day, and the event description can tell anyone who reaches the page what happened.

[Change the date or call off a performance](https://www.ticketfairy.com/guides/change-or-call-off-an-event)

## Can a comedian see how many tickets their link sold?

Yes. You invite them to the performance as a promoter and send them their link. Sales by Promoter shows you each act's sales, and each promoter sees only their own.

On your brand, you select Team, then Add Team Member, enter the comedian's email and choose Promoter as the permission level. An act who plays one night only can join from that performance's Event Team instead. When you publish with Send Promoter Links ticked, each promoter gets their own link by email.

Your brand's Promoters report adds up every act's visits, tickets and revenue across your nights. Ready for the brand team names people who have sold on two or more of your events, so you can see which acts bring their own crowd before you book the next season.

[See which acts and team members sell your tickets](https://www.ticketfairy.com/guides/see-which-team-members-sell-your-tickets)

## Can my box office, ushers and producers each see only what they need?

Yes. You choose each person's role when you invite them, for every show under your brand or for one performance only. Door Staff opens the scanning app and nothing else, Customer Support can manage orders, Stats can see every report, and Promoter sees only their own sales.

On your brand, you select Team, then Add Team Member, enter the addresses and choose the permission level. Owners and administrators have full access, and only an owner can make someone an owner or administrator. Limited Stats can see every report without revenue, which suits a company manager who needs arrivals but not takings.

A visiting company or a one-night door team joins from that performance's Event Team, so their access ends with that performance.

[Invite your team and choose what each person can do](https://www.ticketfairy.com/guides/invite-your-team)

## Does the cast need a new pass for each performance?

No. A pass made on your brand scans at each event the brand runs, so one pass covers the whole run. Uses are counted for each performance. The number of uses can be high enough for a holder who leaves and comes back during a show.

Under Multi-Entry Passes on your brand, you select Create new entry pass type and name it Cast, Crew or Company. Maximum number of uses per event needs to be high enough for a holder who goes in and out during the show, because the limit covers the whole performance. You then add each person under Enter Recipient, or upload a crew list with Upload Recipients, and select Send All.

Passes take nothing out of your ticket allocation, and your door team scans them in the same app as tickets. Ticket Fairy turns passes on for your brand, so ask us if Multi-Entry Passes is not in your menu.

[Issue passes to your cast and crew](https://www.ticketfairy.com/guides/issue-entry-passes-to-your-crew)

## Can my box office team sell tickets on the night?

Yes. At a professional theater or a fringe room, your box office team sells to walk-ups from the Entry Fairy app they scan with, and each sale comes off the same tickets as your online sales. Box office sales show beside your net revenue on your event's Performance page.

Your box office sells walk-up tickets in the Entry Fairy app from the same ticket types and availability as your event page, so you cannot oversell the house. The box office window and a seller in the foyer can sell at the same time.

Your team takes cash, or a tap of a card, phone or watch on a compatible Android phone. Box Office Sales lists each sale by seller or by date with cash and card apart, so you can settle up with each seller at the end of the night.

[Sell at the box office and scan at the door](https://www.ticketfairy.com/features/check-in-and-box-office)

## Which phones can take card payments at the door?

Compatible Android phones. Taps work when your payment processing account is in a country where tap to pay works, your event's venue is in that same country, and your business address or the venue's address is complete. Cash sales work on any phone that runs the scanning app.

Buyers tap a card, phone or watch on the back of the phone, with no card reader to hire. If a phone does not offer it, the app names the reason, such as an event with no venue or an incomplete business address. Once you fix what it names and save, the option appears within a minute.

Card payments at the door go through the same payment processing account as your online sales, and as many phones as you need can sell at the same time with nothing to set up on each one.

[Sell and scan tickets at the door](https://www.ticketfairy.com/guides/scan-tickets-at-the-door)

## Do I need handheld scanners at the theater door?

No. Any iPhone, iPad or Android phone or tablet that can install Entry Fairy, the free ticket scanning app, scans tickets at your door, including seated tickets sold from a seat map. Your box office team sells to walk-ups from the same app.

Everyone who scans joins as Door Staff, so each person has their own login and every admission shows who scanned it. On Check-In, Download App gives the Entry Fairy links on both app stores, and the app is best installed the day before rather than at the door.

Entry Fairy needs an internet connection to scan, so check the signal at each door before the house opens. When a guest is told they are already inside, Individual Tickets finds them by name or email and shows when the ticket went in and who scanned it.

[Prepare your door team for the night](https://www.ticketfairy.com/guides/prepare-your-door-team)

## Does the theater box office come with a CRM?

Yes. Customers lists everyone who buys from your brand, with their shows, what they paid and their referrals, so your box office knows its regulars. You can keep a note on a regular's record, such as the aisle seat they need, find your lapsed buyers and email the buyers who opted in.

Customers on your brand lists everyone who has bought a ticket to any of your shows, one row per person, with how many shows they bought for, their tickets and what they paid. Sorted by # of events, it brings your regulars to the top, ready for the first chance at your next season.

Export downloads every buyer on your brand as a CSV file, with their marketing opt-ins. You can ask Fai in your own words who your biggest buyers are or who keeps coming back, and she answers from the same records.

[See your customer list and repeat buyers](https://www.ticketfairy.com/features/audience-insights/customer-list-and-repeat-buyers)

## Can I take applications from acts and plan the running order where I sell my tickets?

Yes. You review applications to play, build your line-up and plan the running order in your dashboard, beside the tickets, comps and door for your run. You can book a demo, and we set up your first show with your team.

On the show, you select Operations and choose Applications or Run of show in the list of sections. If one is not there, More sections opens it. Operations opens for owners, admins and producers on the event.

In Run of show, Ask Fai to draft the run of show builds doors, soundchecks, sets, changeovers and curfew from your set times. You untick any cue you do not want and save the rest. Under Show callers, you name the team member who calls each stage on the night.

[Plan your running order and who calls it](https://www.ticketfairy.com/guides/plan-your-run-of-show-and-who-calls-it)

## Can I run a stand-up comedy night with a two-drink minimum?

Yes. Your comedy shows get the same event technology a theater uses. A drink-token add-on on the tickets it applies to lets buyers pay for their drinks with the ticket. The room can sell by area without a map so it fills first come, first served, or from a seat map for a seated show. Each act can have a promoter link, applications can open for new material nights and Fai can draft the running order. Every ticketing platform feature a theater run gets works for your stand-up comedy shows too.

A stand-up night with tables starts from the Club show template, and a one-room club from the Concert template with seated chosen. The two-drink minimum sells as a drink-token add-on limited to the ticket types it applies to, so buyers pay for it in the same basket as the ticket.

For a new material night, applications open from an Apply to play form. Your reviewers score each act from 1 to 5 from their own link with no sign-in, and Fai gives each application a summary and a score with her reasons. When you accept an act, they join your event's Artists.

[Review applications to play with your team](https://www.ticketfairy.com/guides/review-act-and-talk-applications-with-your-team)

## Does Ticket Fairy work for a community theater or a comedy club?

Yes. Theater productions, community theaters, dinner theaters and comedy clubs sell their tickets with Ticket Fairy, and performing arts venues use the same box office software. Whether you are a theater manager or a comedy promoter, you run reserved seating, the box office and every sale from one dashboard, and your box office sells the same seats as your online sales.

Comedy clubs, theater companies and arts venues sell a run of performances, and each performance has its own house, comps and latecomer rule. You price the house once, duplicate it for every date and put the run on one page buyers book from.

Your door team scans with the Entry Fairy app, and the Hourly view on Check-In shows arrivals against the seats sold as the house fills.
