# Ticketing Manager Software for On-Sales, Orders and Entry

# Run Every On-Sale Smoothly and Answer Every Buyer Fast

The ticketing manager owns the inventory, the on-sale and every buyer who emails afterwards. Set up your ticket types, releases and limits once, and each release opens as the one before sells out. On a busy on-sale, a waiting room keeps checkout quick and face-value resale keeps returned tickets with fans. Find any order in seconds to fix, move or refund it, and on the night your door team scans and sells on their own phones while you follow arrivals hour by hour.

- Every release on sale at the right moment
- Any order found and fixed in seconds
- A door that moves and sales you can account for

## Set Up Every Ticket, Release and Limit Once

Make each price release its own ticket type and choose when it opens: at a date, when the one before sells out, or whichever comes first. Hold back named reserves for guest lists, artists and partners, limit what one order and one customer account can buy, and schedule the minute your event page goes public. The on-sale then runs to the plan you made, with nobody on the team watching a clock.

Ticket categories group day, weekend and VIP tickets so buyers find the right one quickly, and add-ons such as parking, camping or a programme sell beside the ticket in the same checkout. Start from a template for your kind of event, or copy last year's event and enter the new dates, so the sale windows and door times move with them and the inventory you tuned last year is ready again.

Choose the release style that suits the room. Releases that open on sell-out keep the urgency going on a club night or a big gig, because buyers see the price rise as each tier goes. Releases at fixed dates suit a festival that announces its [early bird](https://www.ticketfairy.com/event-ticketing/event-promo-codes) deadline in advance. Combining the two, whichever comes first, means the next tier opens on its date even in a slow week. Release and pricing rules go further, opening tiers on your sales pace, managing holds and keeping a fraud watch on the on-sale for you.

- **Release tiers**: each price opens at a date or when the one before sells out
- **Hold tickets**: named reserves kept out of the public on-sale
- **Purchase limits**: for each order and each customer account
- **Scheduled go-live**: your event page goes public on the minute you choose

## Open a Busy On-Sale and Keep Tickets With Real Fans

A waiting room sits in front of every on-sale and turns itself on when arrivals climb, so buyers already in checkout pay quickly while the rest see their place in line. Ask for an ID check on the ticket types under most pressure, approve orders before tickets are issued where you need to, and let fans who cannot come resell at face value to the next person on your [waiting list](https://www.ticketfairy.com/event-ticketing/event-waiting-list).

An ID check holds the buyer's card until they prove who they are, so touts with a stack of cards never get tickets issued. The Needs Verification tab shows every hold still waiting, and your team can send the check again, take the payment without it when you are satisfied another way, or release the tickets back on sale.

Face-value resale replaces the [secondary market](https://www.ticketfairy.com/event-ticketing/anti-scalping-ticketing). The fan who cannot come lists their ticket from their order, the next person on the waiting list for that ticket type buys it at an ordinary checkout, the new holder gets a ticket of their own and the old code stops working. The Ticket Resale report shows each ticket that is for sale, in progress or sold, so you answer a worried buyer in seconds. Spread demand further by moving your most likely buyers into a presale with invitations or pre-registration before the public sale opens.

- **Waiting room**: turns itself on when arrivals climb
- **ID checks**: the card held until the buyer proves who they are
- **Order approval**: you decide who gets a ticket before it is issued
- **Face-value resale and waiting list**: returned tickets offered to the next fan in line

## Find Any Order in Seconds and Fix It While the Buyer Waits

Search orders by the buyer's name, email address, phone number or order number, or by ticket type, promotion or the words in a team note. Open one to see its tickets, the device the buyer used and where the sale came from, then fix it on the spot: resend the tickets, correct a name, move the buyer to another ticket type or seat, or refund it.

Correct a misspelt name or email address and send the same tickets again, so a ticket already saved to a phone still scans. Notes stay on the order for your team and never reach the buyer, so the next person who picks up the email knows what was agreed. Tabs for paid, guest, refunded, pending, payment plan and abandoned orders mean you always know what happened to an order before you answer.

Refunds take a code emailed to the event owner, so a refund cannot leave by accident. Where you prefer buyers to help themselves, let them refund their own tickets from their order page, and each returned ticket can go back on sale. When plans change for the whole event, postpone it with the new date shown or hidden and choose who may ask for a refund, or cancel it, and every ticket holder gets the right email. Fai can find an order, add a note and prepare a refund, and asks you before she changes anything.

- **Order search**: by name, email, phone, order number or note
- **Resend and fix details**: the same tickets, so a saved ticket still scans
- **Ticket type and seat changes**: move a buyer without a new order
- **Refunds and self-refunds**: from the Orders page or the buyer's order page

## Get Every Guest, Partner and Private Buyer the Right Ticket

Send guests a free ticket with its own barcode, one at a time or from a spreadsheet, and give an act's management, a radio station or a sponsor a counted allocation they hand out from their own link. Sell to chosen people with personal invitations, one invitation link for a group, an access code that reveals hidden tickets or a password on the whole event page.

Guest tickets are their own orders, on their own tab, so comps never inflate your takings and every guest scans at the door like any other ticket holder. A partner allocation counts down as the partner hands it out, so a sponsor never hands out more than you agreed, and nobody needs a seat on your team to do it.

Choose the private sale that fits the job. Personal invitations carry their own limits and show each recipient's status, which suits members, previous buyers or a corporate list. One invitation link suits a group you trust, such as a club's regulars. Access codes reveal hidden tickets on a public page, and a password closes the whole page for a private event.

- **Guest tickets**: a barcode for every guest, scanned like any ticket
- **Partner allocations**: a counted share partners hand out themselves
- **Invitations and access codes**: private tickets for the people you choose

## Get Your Crowd Through the Door and Every Sale Accounted For

Your door team scans tickets with the Entry Fairy app on their own phones, each with a login that opens the app and nothing else. Set what each ticket type allows at the door, from re-entry to its own last entry time, and the app shows which wristband to hand over as each ticket scans. Walk-ups buy from the same phones, by cash or by tapping a card on your team's phone.

Every phone sees the scans from the others, so a ticket used at the main gate is refused at the side entrance. The Refused scans report counts every ticket turned away by reason, entrance, ticket type and hour, so a run of shared screenshots or a confusing sign shows up while the doors are still open. Check-Ins by Hour tells you when the crowd really arrived, which sets next year's staffing.

Box Office Sales on the Performance page shows every door sale by date or by seller, with cash and card apart, so you settle up with each seller at the end of the night. Tap to pay takes the money through the same payment account as your online tickets, so there is no card reader to hire and nothing extra to reconcile. Box office mode adds will-call, reprints, a cash float for each till and an end-of-day reconciliation, so every night closes with the takings accounted for.

- **Entry Fairy**: scanning on your team's own iPhone and Android phones
- **Re-entry rules and wristbands**: the right band shown as each ticket scans
- **Box office sales**: walk-ups by cash or card, by seller
- **Refused scans**: every ticket turned away, with the reason

![Ticket Fairy Refused scans report with totals at the door and staff gates and the scans refused by reason and entrance](https://www.ticketfairy.com/embeds/posters/marketing-event-small-items--refused-scans.png)

## Know How Every Ticket Type Is Selling and Share It

Your Performance page shows tickets sold and net revenue as they change, with the tickets sitting in buyers' carts underneath. Sales by Type shows what each ticket type has sold and earned, so you know which release to open next, and separate tabs cover add-ons, payment plans, box office sales, resale and your waiting list.

Give a venue or co-promoter a live sales link for the ticket types they share in, without a role on your event, and hide the day-by-day figures when you want them to see totals only. Export any filtered set of orders with one row per order for the accounts, or one row per ticket for the door list and the caterer.

Ask Fai how this on-sale compares with last year's, or which ticket type is slowing, and she answers with the figures and a chart you can paste into the morning update. She can also mark a ticket type sold out, add people to the guest list or send invitations for you, each one shown to you before she makes the change.

- **Sales by Type**: what each ticket type has sold and earned
- **Sales report links**: live sales for partners, without a role on your event
- **Order exports**: one row per order or one row per ticket

## How Ticketing Managers Use Ticket Fairy

- ### A Sell-Out Arena Show

Three releases open on sell-out behind the waiting room, with an ID check on the front standing tickets. Touts' orders sit unissued in Needs Verification while real fans buy, and returned tickets go to the waiting list at face value.
- ### A Weekend Festival

Weekend, day and camping tickets sit in categories, with named holds for artists and sponsors. When the headliner pulls out, the ticketing manager postpones with refunds only for tickets bought before the change, and every ticket holder gets the right email.
- ### A Theatre Run

Members buy through personal invitations a week before the public on-sale, and the box office team moves buyers to better seats from the order without a new booking. A corrected name on a ticket keeps its barcode, so saved tickets still scan.
- ### A Venue With Shows Every Week

Each show starts as a copy of a template with its releases, limits and door rules ready. The venue gives each promoter a live sales link for their own show, so the box office stops answering the same question by phone.
- ### A Conference With Company Bookings

Speakers and sponsors receive guest tickets from a spreadsheet, and the order export with one row per ticket becomes the badge list. Fai answers which ticket type is behind last year before the early bird deadline.

## Questions About Ticket Fairy for Ticketing managers

### Ticketing managers

#### How many tickets can one customer account buy?

You choose a number from 1 to 20 for each ticket type. The limit counts active tickets of that type across the account's orders. A buyer whose email has no customer account yet is not held to it on a first purchase, so set a limit per order as well when the first order matters.

#### Do I have to switch the waiting room on?

No. It sits in front of every on-sale and turns itself on when arrivals climb. Buyers see their place, and refreshing the page does not move them up or down, so say so in your announcement.

#### What happens to an order waiting on an ID check?

The buyer's card carries an authorisation, not a charge, and the tickets are neither issued nor back on sale. Ticket Fairy emails a reminder to the buyer every twelve hours and starts clearing an untouched order after seven days. A card authorisation can also expire on the bank's own schedule.

#### Who can refund an order from the dashboard?

The event owner, who confirms each refund with a code Ticket Fairy emails them. The order must be paid by card through your own connected payment account, with every ticket still valid, and the event's funds not yet paid out. Ticket Fairy support refunds anything else for you.

#### Is there a fee for resale?

The seller pays a resale fee of 10% of what they paid for the ticket, not counting the booking fee. For currencies other than US, Australian or New Zealand dollars, pounds sterling and euros, it is capped at the equivalent of US$20. Events in India carry no resale fee, and Ticket Fairy can set a different fee for your event.

#### Does the seller's ticket stop working straight away?

No. A ticket listed for resale still scans until a new buyer pays for it. Once the sale completes, the seller's ticket stops working, the new buyer gets their own ticket and the seller is refunded what they paid, less any amount already refunded and, in most cases, the booking fee.

#### Does scanning work without a signal?

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each entrance before the doors open.

#### How do box office staff take payment?

In cash, or by card with Tap to Pay on a compatible phone in the country of the payment account your event uses. Card payments go through the same payment account as your online sales.

#### Why do Ticket Sales and Sales by Type give different totals?

Ticket Sales leaves complimentary orders out and Sales by Type counts them, so where you issue guest, artist or crew tickets, Sales by Type is the larger of the two. Ticket Sales also counts tickets held but not yet paid for. Refunded tickets drop out of both.
