Sell Out Every Ball and Freshers' Night and Keep Student Prices for Students

Students' unions, societies and university events teams sell a cheaper ticket to students and a full-price one to everyone else, and need each student ticket to go to a student. You check every student order before it is confirmed, and each society rep sells through a link of their own. The same event carries your volunteers, your stallholders and your door team, and next year's committee starts from this year's setup.

  • Student tickets that go to students

Keep the Student Price for Students

Add a Student ticket beside your full-price ticket, or say yes to a student rate on the Conference template and it adds one for you. Hide the Student ticket behind an access code that you share through your union, society and course channels, and ask each buyer for their student number at checkout. Every order with a Student ticket waits for your approval, with the payment held until you approve, while full-price tickets sell as normal. Check each number against your own list, approve the orders that check out, and ask every guest to bring photo ID that matches the name on their ticket.

  • Access codes: the Student ticket appears only to buyers with your code
  • Order approval: every student order waits for your decision
  • Checkout questions: a student number on every order
  • Names and photo ID: each ticket carries its holder's name

Let Every Society Rep Sell Through Their Own Link

Invite each society rep or student ambassador to your event as a Promoter, and when you publish, each one gets a promoter link and QR code of their own. Sales by Promoter shows the tickets, revenue and visits each rep brought in, so you can see which society sold the most for your ball. Across the year, the Promoters report on your brand ranks every rep across all your events and points out who is on the rise. Give a society an allocation of free tickets they hand out themselves from a link, with no login to your dashboard.

  • Promoter links: a link and QR code for every rep
  • Sales by Promoter: tickets, revenue and visits for each rep
  • Promoters report: every rep ranked across the year
  • Society allocations: free tickets a society hands out from a link

Fill Your Free Talks and Spread the Cost of the Ball

Run a free careers talk or welcome event with Freefund, where each RSVP carries a refundable deposit that comes back when the ticket is scanned, so fewer places go to students who never arrive. Let students pay for the summer ball in instalments, with a deposit at checkout and the rest weekly or monthly from the same card. Give a flat, a team or a society a lower price when they buy together, applied at checkout once the basket reaches the group size, with no code to find. Every buyer gets a referral link and earns back part of their ticket as friends buy through it.

  • Freefund RSVP: a refundable deposit that comes back at check-in
  • Payment plans: a deposit now and the rest over time
  • Group discounts: a lower price when friends buy together
  • Referral rewards: students earn back part of their ticket

Get a Dashboard That Arranges Itself Around Each Event You Run

Your event type decides which sections each event shows and what they are called, and you can tick more than one. Tick Club Show or Concert for the ball or a freshers' night, and Programme holds Artists, Schedule, Stages and Public line-up, with Advancing and Travel for the act you book. Tick Conference for a careers day or an academic conference, and the same sections are called Speakers, Agenda, Rooms and Public agenda, with Exhibitors for each employer's stand and Event staff for your crew. Tick both for a festival with talks, and your event shows the sections of each. Volunteers, Shifts and Accreditation sit under Team for every type, so student helpers sign up for shifts and get a pass that scans at the door.

  • Event type: tick more than one and you get the sections of each
  • Volunteers and shifts: helpers apply from their phone and pick their shifts
  • Accreditation: passes that scan at the same door as tickets

Take Applications for Your Fair and Run the Door With Your Own Students

Open a form for the societies, stallholders and performers who want a place at your freshers' fair or showcase, or describe the form to Fai and she drafts it for you. Every application arrives in one list with the same questions answered, ready for you to accept or decline. Invite the students working the door as Door Staff, and each of them scans tickets with the Entry Fairy app on their own phone without seeing anything else in your dashboard. Follow arrivals hour by hour while the doors are open, and find any student by name when they say their ticket was already scanned.

  • Application forms: societies, stallholders and performers apply on your form
  • Door Staff logins: the scanning app and nothing else
  • Arrivals by hour: how full your hall is while the doors are open

Hand Next Year's Committee an Event That Is Ready to Go

Copy this year's ball into a new draft and enter the new dates, and the ticket types, sale windows and door times move with them. Choose whether the team, promotions, email templates and checkout questions come too, so a new committee starts from last year's setup. Invite each year's committee to the event team, and their access covers that event only, so the next event starts with a clean list. Customers lists everyone who has bought from your union, with the events they came to, so you can invite returning students back.

  • Duplicate event: next year's draft with the dates moved for you
  • Event teams: access to one event for each year's committee
  • Customers: everyone who has bought from your union

Questions About Ticket Fairy for University and campus

University and campus

Hide the Student ticket behind an access code that you share only with students, ask for a student number at checkout, and require approval for the Student ticket. You then approve each student order after checking the number, and a buyer whose number does not check out gets no ticket.

With Hold payment until approved on, a payment method that supports it reserves the amount at checkout and we collect it only when you approve. Other payment methods charge the student at checkout and refund them if you decline the order. Approve before the hold expires, or the order is declined.

Yes. A checkout question cannot be limited to one ticket type, so label it for Student tickets only and leave Required off, and a full-price buyer can skip it. An order carries one number, so check each Student ticket holder's ID at the door.

Yes. Give the society a delegation with the ticket types and the number they can hand out, and they work from the link you send them. A rep invited as a Promoter has a login that shows their own link and their event's sales, and nothing they can change.

Yes. Set the ticket price to zero, and keep the access code and approval if the places are for students only. With Freefund, each ticket's price is a deposit: a student whose ticket is scanned by the cutoff you choose gets it back, and a ticket nobody scans in time is charged.

Volunteers must be 16 or older by default. A volunteer under 18 adds a parent or guardian, who agrees too.

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each door of your hall before you open.
