# Sell Out Every Ball and Freshers' Night and Keep Student Prices for Students

Students' unions, societies and university events teams sell a cheaper ticket to students and a full-price one to everyone else, and need each student ticket to go to a student. You check every student order before it is confirmed, each society rep sells through a link of their own, and students spread the cost of the ball over the term. The same event carries your student volunteers, your fair's stallholders and employers, and your door team, and next year's committee starts from this year's setup.

## Keep the Student Price for Students

Add a Student ticket beside your full-price ticket, or say yes to a student rate on the Conference template and it adds one for you. Hide the Student ticket behind an [access code](https://www.ticketfairy.com/event-ticketing/event-promo-codes) that you share through your union, society and course channels, and ask each buyer for their student number at checkout. Every order with a Student ticket waits for your approval, with the payment held until you approve, while full-price tickets sell as normal.

Check each number against your own list, approve the orders that check out and decline the rest, and the buyer whose order you decline is not charged for a ticket. Put a name on every ticket and ask guests to bring photo ID that matches it, so a student ticket bought for a friend from outside the university is easy to spot at the door.

Some events are for your own students only, such as a graduation ball or a halls night. Keep every ticket type hidden behind an access code, send personal invitations with their own limit to a list of students, or share one invitation link with a society, and the public never sees the event at all. Set a limit on how many tickets one order can hold, so one buyer cannot take a whole release.

- **Access codes**: the Student ticket appears only to buyers with your code
- **Order approval**: every student order waits for your decision
- **Checkout questions**: a student number on every order
- **Personal invitations**: students-only events the public never sees

## Let Every Society Rep Sell Through Their Own Link

Invite each society rep or student ambassador to your event as a Promoter, and when you publish, each one gets a promoter link and QR code of their own. Sales by Promoter shows the tickets, revenue and visits each rep brought in, so you can see which society sold the most for your ball. Across the year, the Promoters report on your brand ranks every rep across all your events and points out who is on the rise.

Word of mouth sells a students' union night. Reps share their link in society group chats and print their QR code on posters around campus, and every sale they bring in is credited to them. Upload flyers and story artwork with a caption reps copy as it is, and each rep downloads them beside their own link, so the posts that go out look like your union.

A rep invited as a Promoter has a login that shows their own link and their event's sales, and nothing they can change. Give a society an allocation of free tickets they hand out themselves from a link, with no login to your dashboard, such as places for their committee or their performers. Invite the reps who sold the most back for next year's ball.

- **Promoter links**: a link and QR code for every rep
- **Sales by Promoter**: tickets, revenue and visits for each rep
- **Promoters report**: every rep ranked across the year
- **Society allocations**: free tickets a society hands out from a link

## Fill Your Free Talks and Spread the Cost of the Ball

Run a free careers talk or welcome event with Freefund, where each RSVP carries a refundable deposit that comes back when the ticket is scanned, so fewer places go to students who never arrive. Let students pay for the summer ball in instalments, with a deposit at checkout and the rest weekly or monthly from the same card. Give a flat, a team or a society a lower price when they buy together, applied at checkout once the basket reaches the group size, with no code to find.

Student budgets are tight, and a ball ticket bought in one payment in the week before exams often goes unsold. A [payment plan](https://www.ticketfairy.com/event-ticketing/event-payment-plans) lets students commit early in the term and pay as their loan or wages come in, and every payment plan sits on its own tab of your orders. Payment plans and group prices bring more students in at the price you set, without discounting the ball.

Free events have the opposite problem: students register for everything and come to half of it. With Freefund, the deposit comes back to every student whose ticket is scanned by the cutoff you choose, so your welcome talk, your careers panel or your society fair sees a full room and your catering matches the people who come.

- **Freefund RSVP**: a refundable deposit that comes back at check-in
- **Payment plans**: a deposit now and the rest over time
- **Group discounts**: a lower price when friends buy together

## Staff Every Event With Student Volunteers Who Turn Up

Take volunteer applications on your own page, with the roles you need and your own questions, and Fai reads each application and suggests where each student fits. Accept volunteers in groups, offer open shifts to the people who fit, and invite last year's helpers back with the shifts each one worked. Each volunteer gets their own page with their shifts, open shifts to pick, their day sheet and their documents.

Freshers' week, open days and graduation all need more helpers than your staff team can supply. Track the hours each student gives and works, approve them, and give the rewards they have earned, so volunteering on your events is worth putting on a CV. A volunteer under 18 adds a parent or guardian, who agrees too.

Volunteers, crew and performers get an accreditation pass with the zones and days they need, and the pass scans at the same door as tickets. With Conference as your event type, a careers day or an academic conference calls its sections Speakers, Agenda and Rooms, and with Club Show or Concert a ball calls them Artists and Stages, so each team works in the words it already uses.

- **Volunteer applications**: Fai suggests where each student fits
- **Shift offers**: open shifts to the people who fit
- **Hours and rewards**: the hours each student gave, approved
- **Accreditation**: passes that scan at the same door as tickets

## Fill Your Freshers' Fair and Careers Day and Run the Door With Your Own Students

Open a form for the societies, stallholders and performers who want a place at your freshers' fair or showcase, or describe the form to Fai and she drafts it for you. Every application arrives in one list with the same questions answered, ready for you to accept or decline. At a careers fair, each employer's stand staff record the students they meet with a lead scanner link on their own phone, and each employer sees their leads on a page of their own.

Invite the students working the door as Door Staff, and each of them scans tickets with the Entry Fairy app on their own phone without seeing anything else in your dashboard. Follow arrivals hour by hour while the doors are open, and find any student by name when they say their ticket was already scanned.

For a careers day or a graduate recruitment fair, the employers are your customers too. When each employer can see how many students they met and download their leads, they come back next year and recommend your fair to others. Badge students at a registration desk with their name and the details you collect at checkout.

- **Application forms**: societies, stallholders and performers apply on your form
- **Employer lead scanners**: stand staff record the students they meet
- **Door Staff logins**: the scanning app and nothing else
- **Arrivals by hour**: how full your hall is while the doors are open

![Ticket Fairy Create a form dialog with a box to describe the form for Fai, ready-made forms and a button to start with an empty form](https://www.ticketfairy.com/embeds/posters/marketing-custom-forms--start.png)

## Hand Next Year's Committee an Event That Is Ready to Go

Copy this year's ball into a new draft and enter the new dates, and the ticket types, sale windows and door times move with them. Choose whether the team, promotions, email templates and checkout questions come too, so a new committee starts from last year's setup. Invite each year's committee to the event team, and their access covers that event only, so the next event starts with a clean list.

Student committees change every year, and the knowledge of how last year's ball was run usually leaves with them. Keeping every event under your union's brand means prices, sales, promoters and suppliers stay with the union, and the new committee sees what sold, when and through whom.

Customers lists everyone who has bought from your union, with the events they came to, so you can invite returning students back. Give each committee member the role their job needs, such as Door Staff for the door team or a Stats login for the treasurer, and take it away when they hand over, so a graduate never keeps access to next year's money.

- **Duplicate event**: next year's draft with the dates moved for you
- **Event teams**: access to one event for each year's committee
- **Customers**: everyone who has bought from your union

## How Students' Unions and Campus Teams Use Ticket Fairy

- ### A Summer Ball

Student tickets sit behind an access code, and every student order waits for a quick check of the student number. Students pay in instalments across the spring term, and each society rep sells through their own link. Sales by Promoter shows the rowing club sold the most, and their committee gets the top table.
- ### A Freshers' Week of Club Nights

Each night of freshers' week is copied from the first, with its ticket types and door times in place. Student door staff scan with their own phones, and the hourly arrivals show when to open the second bar. Halls reps sell through their own links and QR codes.
- ### A Careers Fair

Students register free with a refundable deposit that comes back when they check in, so the hall is full on the day. Employers book their stands and their staff record the students they meet with lead scanner links. Each employer downloads their leads before they leave.
- ### A Society Showcase

Societies apply for a slot on the union's own form, and Fai drafts the form from a short description. Accepted performers get free tickets for their friends from the society's allocation. Student volunteers pick their shifts on their own page.
- ### A University Events Office

Open days, public lectures and graduation receptions run under one university brand, each with its own team. Public lectures use Freefund to cut no-shows, and graduation tickets go to graduates by personal invitation. The events office invites returning guests from its customer list.

## Questions About Ticket Fairy for University and campus

### University and campus

#### How do I keep the student ticket for students only?

Hide the Student ticket behind an access code that you share only with students, ask for a student number at checkout, and require approval for the Student ticket. You then approve each student order after checking the number, and a buyer whose number does not check out gets no ticket.

#### Is a student charged while I check their order?

With Hold payment until approved on, a payment method that supports it reserves the amount at checkout and we collect it only when you approve. Other payment methods charge the student at checkout and refund them if you decline the order. Approve before the hold expires, or the order is declined.

#### Do full-price buyers see the student number question too?

Yes. A checkout question cannot be limited to one ticket type, so label it for Student tickets only and leave Required off, and a full-price buyer can skip it. An order carries one number, so check each Student ticket holder's ID at the door.

#### Can a society hand out tickets without a login to our dashboard?

Yes. Give the society a delegation with the ticket types and the number they can hand out, and they work from the link you send them. A rep invited as a Promoter has a login that shows their own link and their event's sales, and nothing they can change.

#### Can I run a free event that students register for?

Yes. Set the ticket price to zero, and keep the access code and approval if the places are for students only. With Freefund, each ticket's price is a deposit: a student whose ticket is scanned by the cutoff you choose gets it back, and a ticket nobody scans in time is charged.

#### Can students under 18 volunteer?

Volunteers must be 16 or older by default. A volunteer under 18 adds a parent or guardian, who agrees too.

#### Do employers at a careers fair need a Ticket Fairy account?

No. Each employer's stand staff work from a lead scanner link on their own phone or tablet, and scan with a USB or Bluetooth barcode scanner or enter the code printed on the student's ticket or badge. Each employer sees their leads and follow-ups on their own page.

#### Does the scanning app work without a signal?

No. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each door of your hall before you open.

#### Does Fai change anything without asking?

No. Fai can draft your application forms, decline a student order that does not check out, decide volunteer applications with you and duplicate an event, and she shows you each change and waits for your approval before anything is saved or sent.
