# Fill Every Room, Every Night, Whoever Puts the Show On

A venue earns from its own nights and from the promoters who hire the room, and both need the same calendar, the same door and the same answers for buyers. See every hold and show across your rooms and stages, book acts at a fee you can back with what you paid before, and settle each show from its ticket sales. Give each hiring promoter their night and nothing else, run your door, box office and bar from your team's own phones, and see which promoters fill your room.

- Every date held, offered and settled across your rooms
- Your own nights and your hirers' on sale in minutes
- A door, box office and bar ready every night

## Know Who Holds Every Date in Every Room

Add each room, stage and terrace you book, with its capacity and its own colour, and see every hold and show across them on one calendar for your brand. Hold a date for an artist, a promoter or a private client, and every later hold on the same date queues behind it as a second or third hold. Challenge the first hold and it gets a deadline to confirm or let the date go. Needs attention lists the dates that need a decision today, so a booker never loses a Saturday to a hold that went quiet.

Fai, the assistant inside your dashboard, checks every hour for holds about to lapse, challenges nobody answered, offers with no reply and shows that ended without a settlement. When a first hold misses its challenge, one action gives the date to the challenger and moves everyone else up the queue. When you confirm a hold, you choose whether the holds behind it stay as backups in case the booking falls through, or are released so their dates are free again.

Every hold keeps its history, with who placed it, who challenged or confirmed it and when, so a disagreement with an agent about who was first is settled in seconds. If two people on your team change the same hold at once, the second person sees the latest version and chooses whether to keep their changes, so nobody overwrites a colleague's booking. Ask Fai to hold a date, challenge a hold or release one, and she shows you the change before she makes it.

- **Spaces**: each room and stage with its capacity and colour
- **Holds and challenges**: first, second and third holds in queue order
- **Needs attention**: the dates and deals to decide on today
- **Hold history**: who placed, challenged or confirmed each hold

## Book Acts at a Fee Your Room Can Carry and Settle Every Show

Before you make an offer, see what you paid the act before, how many tickets those shows sold and a guarantee range Fai suggests from your own history. Choose how the fee is worked out, from a flat fee to a guarantee against a percentage of ticket sales, and see how many tickets pay for the guarantee at your ticket price. When the agent accepts, the act is booked onto your event with the agreed fee. After the show, Fai drafts the settlement from your ticket sales, your costs and the deal, and every line says where its figure came from.

Start an offer from one of your templates or reuse your last offer to the same act, and Fai drafts the email to the agent she finds on the booking or your last offer. Each counter-offer is kept as a new version beside the one before it, so you always know which terms were on the table. With your mailbox connected, Fai reads the agent's reply and fills in their answer for you to check.

A shared settlement locks its lines, so the act's team checks the same figures you do. A mistake is corrected with a reversing line or by reopening the settlement as a new version, and the version you shared stays exactly as it was. Mark it agreed when both sides accept it and paid when the act has their money, and deposits and balances you paid before the night appear beside it. Spend across your events then shows what every night cost across a period, with the cost per person scanned in at your door.

- **What you paid before**: past fees and tickets sold beside every offer
- **Deal types**: flat fee, guarantee against a percentage, or a door deal
- **Settlements**: drafted by Fai, every line traced to its source
- **Spend across your events**: with the cost per person through your door

## Give Every Promoter Who Hires Your Room Their Own Night

Add a hiring promoter to the one event they booked, and they work on that night only while your permanent team keeps its access across every night. A promoter who builds the night gets an Administrator seat for that event, and one who sells a night your team builds gets their own promoter link. Hold tickets back on a release for each promoter's guest list, and give a partner such as a sponsor or an act's management an allocation they hand out from their own link. Share a live sales report with a co-promoter, and they follow sales as they happen with no role on your event.

The brand Promoters report narrowed to your venue ranks every promoter by the tickets and revenue their links brought to your nights. It points out who is on the rise, who has gone quiet and which one-night sellers are ready to join your brand team, which gives your booker real figures when a promoter asks for a better date. Open any promoter to see their results night by night.

Promoter collectives you work with share an [invite code](https://www.ticketfairy.com/event-ticketing/event-promo-codes), and you invite the whole collective onto your own events with the commission you pay. Choose a seat for the promoter who builds the night, a link for one who sells it, and an allocation for the partner who only hands tickets out, and each of them sees exactly what their part of the night needs. Ask Fai to invite a hiring promoter to one night's team, and she shows you the invitation before she sends it.

- **Event teams**: a hiring promoter sees the night they booked
- **Held tickets and allocations**: named holds and tickets partners hand out
- **Sales report links**: live sales for a co-promoter or an act's team
- **Promoters at your venue**: every promoter ranked by what they sold

## Put Your Own Nights on Sale and Repeat Them Every Week

Start each of your own nights from the setup that matches it, such as a club show, a concert or a theatre show, and the template prices every tier around your ticket price and sizes it to your room. Copy last month's night for its next date, and the sale windows, door times and settings move with it. Keep every edition of a regular night in an event series, with one public page that always shows what is on next. Sell numbered seats from your seat map, a place in each area of the house, or tables and booths with a deposit online.

Sell a season pass that covers your programme, including the nights you have not announced yet, and holders book each night as it goes on sale. Put a buy button, the full checkout or a list of your upcoming events on your own website, so buyers choose, pay and get their tickets without leaving it, and every sale still lands in your dashboard.

A template suits a new kind of night, a copy suits next week's edition, and a series keeps a residency or a weekly club night on one address your regulars bookmark. Each night keeps its own tickets, orders and reports, so a quiet Tuesday never hides inside a busy Saturday.

- **Event templates**: tiers priced around your price and sized to your room
- **Duplicate event**: next week's night from this week's
- **Series and season passes**: one page and one pass for your regular nights
- **Website embeds**: a buy button, the checkout or your events list

## Run a Door, Box Office and Bar That Balance Every Night

Invite your door team to your brand as Door Staff, and they scan tickets on their own phones at every night your venue runs, including the nights a hiring promoter builds. Walk-ups pay at the door in cash or by tapping a card or phone on your team's phone. Your box office sells to walk-ups, hands over will-call and reprints tickets, then balances each till against its cash float at the end of the night. Door staff see each guest's age status as the ticket scans and mark the wristband as ID checked, and your bar team logs every refusal.

Refused scans shows every ticket your door turned away, by reason, entrance and hour, while the doors are still open, so a run of shared screenshots at the side door is spotted and stopped. VIP hosts get an alert when their table's guests arrive, and cashless wristbands from your payments partner link to each ticket, with top-ups at checkout and spend by bar in the settlement.

Every admission carries the name of the person who scanned it, so a dispute at the door is settled with facts. Keep your regular door team on your brand and their logins work all season, or put a one-night crew on that event's team and their access ends with the night.

- **Door Staff logins**: one login for every night at your venue
- **Box office mode**: walk-ups, will-call and a till that balances
- **Age checks**: age status on the scan and ID checked on the wristband
- **Refused scans**: why tickets were turned away, by entrance and hour

## Tell Every Buyer How to Find You and Get In

Claim your venue's free page on Ticket Fairy with a code sent to your venue's email address, or add it to the brand you already run. Add sections on getting there, your rooms, accessibility and the door, and answer the questions visitors ask, such as where to park and what time you open. Every promoter's buyers read the same page, so the directions are the same whoever runs the night. Search engines read your answers as questions and answers, so the facts people search for show where they search.

Invite your booker or marketing manager to keep the page current, and their seat reaches the venue page and nothing of your events, orders or payouts. Keep a section as a draft until it is ready, put sections in the order people read them, and choose a language for each, so staff who speak different languages share one page. Look after several venues from one brand, each with its own page.

Ask Fai to add or change a section on your venue page, such as new parking advice for a road closure, and she shows you the wording before it goes live.

- **Claim your page**: free, with a code sent to your venue's email address
- **Sections and answers**: getting there, your rooms, accessibility and the door
- **Venue page helpers**: the page and nothing of your events

## How Venues Use Ticket Fairy

- ### A Two-Room Music Venue

The booker holds Saturdays in the Main Room and the Terrace for three acts at once. When the first hold misses its challenge, Needs attention offers the date to the second hold, and the confirmed show is linked to its event so Fai drafts the settlement once the show ends.
- ### A Club That Hires Out Fridays

Fridays go to a different promoter each week, each with an Administrator seat on their own night. The venue's door team scans every Friday on the same logins, and the Promoters report shows which hirers brought the biggest crowds at renewal time.
- ### A Theatre With a Visiting Company

The visiting company sells through promoter links while the venue builds the event. The company's management follows sales on a live sales report link, and the settlement shares the agreed split line by line.
- ### A Bar With Weekly Live Music

A bar copies each week's gig from last week's and keeps them in one series on its website. A season pass sells the whole autumn programme up front, and regulars book each night as it is announced.
- ### A Venue Group With Several Sites

One brand looks after the venue pages for three sites, each with its own booker invited to keep the page current. Spend across your events compares the cost per person through the door at each site.

## Questions About Ticket Fairy for Venues

### Venues

#### Can a promoter who hires the venue see our other events?

No. Add them to the one event's team, and their access reaches that night only and ends with it. A partner with an allocation sees only their own link, and a co-promoter with a sales report link sees only that report after signing in with their own Ticket Fairy organiser login.

#### What happens when a hold is challenged?

The first hold gets the deadline you choose, in hours, to confirm or let the date go. If it does not answer in time, Needs attention offers to give the date to the challenger, and the holds behind move up. The first hold is not emailed by Ticket Fairy, so let them know.

#### Which deals can an offer use?

A flat fee, a guarantee or a percentage of ticket sales whichever is more, a guarantee plus a percentage above it, a percentage with no guarantee, or a deal you describe in words. The percentage can be of ticket sales, ticket sales after tax, or ticket sales after tax and show costs.

#### Does Fai read the agent's reply for me?

Yes, once a mailbox is connected to your brand. Fai reads the answer and fills it in for you to check before you record it. Without a mailbox, you record the answer by hand.

#### Does marking a settlement paid move money?

No. It records that the act has been paid. Pay the act from Vault or your own bank, and the deposit and balance you paid before the night appear on the settlement.

#### Does a venue page cost anything?

No. The page is free and stays free whether or not you sell tickets with us. You claim it with a code sent to an address at your venue's own website, and if no address there reaches you, contact us and a person sets the page up with you.

#### How do walk-ups pay at the door?

In cash, or by tapping a card, phone or watch on a compatible Android phone in the country of the event's payment processing account. The option appears once the event has a venue and a complete business or venue address.

#### Does the scanning app need a signal?

Yes. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each door before you open.

#### When does a sale count for a promoter?

A ticket or table booked within 7 days of opening the promoter's link, in the same browser, counts as theirs. The Promoters report counts the sales made while they were on the team.

#### Where do I find the calendar, offers and settlements?

In Event Operations on your brand, where one calendar covers every room and stage you run. Book a demo, and we set up your rooms and first shows with your team.
