## Who pays the booking fee, us or the buyer?

The buyer pays it, unless you choose otherwise. With Added, the default, the buyer pays the booking fee on top and you receive the full ticket price. Absorbed suits you when the price on your poster has to be the price at checkout, and the fee comes out of what you receive.

You choose once for each event, on the Tickets page or while you create the event, and every ticket type and add-on follows it. The choice comes before your first ticket type, because you cannot switch between Added and Absorbed once ticket types exist. A third choice, Added Later, shows the ticket price on your event page and the fee at checkout, in countries other than Australia, the United Kingdom and the United States.

The booking fee depends on the ticket price and your event's country. It falls as a percentage as prices rise, with a small minimum on low prices, and your Ticket Types table shows the exact amount for every price you enter. Free tickets carry no fee, and there is no setup fee and no required monthly ticketing fee.

[Choose who pays the booking fee on your event](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

## When do we get our ticket money?

You get paid daily as tickets sell, once your own payment processing account is linked and active. If you choose to be paid out after your event instead, Ticket Fairy processes the payments and pays you 10 to 15 business days after the event finishes.

Daily payouts need a Stripe payment processing account in a supported Stripe country, or a Xendit account in Indonesia. Any other account you link pays out on its own schedule. With your account linked before your on-sale, you are paid as tickets sell. With Paid out after your event, you need nothing set up, so you can publish straight away.

When you are paid after the event, the money goes to the account under Payout Details on your brand, and one event can use a different account. It is worth checking before the event ends, because a payout already sent to an old account has to be recalled. Ticket Fairy pays you for a postponed event after it takes place, and pending refund requests or chargebacks extend the wait.

[Check the payout for your event](https://www.ticketfairy.com/guides/check-your-payout)

## Can we take a deposit for private hire or a table booking?

Yes. With an active Vault account, you can create a payment link for a hire deposit and send it to your client, and the money goes into your Vault balance. Table and booth bookings on your events take their deposit online at checkout, and you collect the rest at the venue.

You name the payment so your client recognizes it, such as Private hire deposit, then set the amount and currency, or let the payer enter the amount. You choose whether the link can be paid once or many times, and set a last day to pay up to a year ahead. You copy the link into a message or email it from your brand, and the list of links shows how many times each was paid and what it collected.

For tables on your own nights, each table type has its price, party size and the share paid online. Every table booking asks the buyer for an identity check, and Ticket Fairy charges the online share once they pass it. The booking fee applies only to the amount paid online.

[Collect table deposits and venue hire with Vault payment links](https://www.ticketfairy.com/guides/get-paid-with-vault-payment-links)

## Can a promoter who hires the venue see our other events?

No. Added to that one event's team, they can work on that night only, until it ends. A partner with an allocation sees only their own link. A co-promoter with a sales report link sees only that report, after signing in with their own Ticket Fairy organizer login.

A hiring promoter belongs on the event's own Team page rather than on your brand's Team page. The Administrator role suits a promoter who builds the night themselves, with its tickets, guest list and publishing. The Promoter role suits one who sells a night your team builds. They then get their own promoter link and the sales through it count as theirs, but they cannot change your tickets.

Your permanent team stays on the brand team, such as your booker, your box office and your regular door staff. Their access carries across every night your brand runs, including the nights a hiring promoter builds. A promoter who brings their own door crew adds each of them to that night's team as Door Staff, so every scan still carries a name.

A sponsor or an act's management who hands out a fixed number of tickets gets a delegation instead of a place on your team. A delegation is a sign-in link of their own that lets them issue only the ticket types you chose, up to the number you set, and they never see your sales, your buyers or the rest of your event. A co-promoter who wants to follow sales opens a sales report link that shows only the ticket types and add-ons you chose.

## What happens when a hold is challenged?

The first hold gets the deadline you choose, in hours, to confirm or let the date go. If they do not answer in time, Needs attention offers to give the date to the challenger, and the holds behind move up. Ticket Fairy does not email the first hold, so let them know yourself.

On the second or later hold, you select Challenge the first hold, then choose how long the first hold has to answer: 24, 48, 72 or 168 hours. The first hold then shows as Challenged, with its deadline. If they confirm in time, the date is theirs and your hold stays in the queue behind them. If they release it, the holds behind move up and yours becomes the first hold.

When the deadline passes with no answer, Needs attention at the top of Event Operations lists the missed challenge, with a button that gives the date to the challenger by name. Fai, the assistant in your dashboard, checks every hour and lists the holds and challenges that need a decision. Nothing changes until somebody on your team approves it.

Every hold keeps its history: who placed it, who challenged or confirmed it, and when. When a hold ahead of yours reaches the lapse date its holder chose, it lapses and the holds behind it move up in the same way.

## Which deals can I offer an act?

You can offer a flat fee, or a guarantee or a percentage of ticket sales, whichever is more. You can also offer a guarantee plus a percentage above it, a percentage with no guarantee, or a deal you describe in words. The percentage can be of ticket sales, ticket sales after tax, or ticket sales after tax and show costs.

You choose the deal under How the fee is worked out on the offer. For a percentage, you enter the figure and choose what it is a percentage of. Deal in words is the line the agent reads, such as £9,000 versus 85% of net. When you describe a deal in words, the settlement uses the guarantee, and you add any other lines to it yourself.

Once you enter the performer, What you paid them before shows each past show with the fee and the tickets it sold. Fai suggests a guarantee range from your own shows with that act, adjusted for the room's capacity, or from shows of a similar size when you have none. A badge says how much history the range rests on, and you can use the middle of the range or reuse your last offer to the act.

A deposit can be a percentage of the guarantee or a set amount, with dates for the deposit and the balance, the set length and any agency fee you pay on top of the fee. When the agent accepts, the deposit, balance, due dates and set length go onto the act's booking on your event.

## Can Fai fill in the agent's reply for me?

Yes, once you connect a mailbox to your brand. Fai fills in the agent's answer for you to check before you record it. Without a mailbox, you record the answer yourself.

On the offer, Check for their answer reads the agent's reply. Fai looks for the agent's reply in your brand's email and fills in what they said: they accepted, they asked for different terms, or they declined. You check it, then select Record answer.

Ticket Fairy keeps a counter-offer as a new version beside the one you sent, so you always know which terms were on the table. If you change the terms after their counter, you send the offer again before you can record an acceptance, so the agent always agrees to the terms they saw. When you record an acceptance on an offer linked to your event, Ticket Fairy books the artist on the event at the agreed fee, and Undo takes the booking back off.

With a connected mailbox, the offer email goes from your own address. Without one, it goes from Ticket Fairy with your address to reply to. Either way, a copy of exactly what you sent stays with the offer.

[Make an offer to an artist's agent for your show](https://www.ticketfairy.com/guides/make-an-offer-to-an-artists-agent)

## Does Ticket Fairy pay the act when I mark the settlement paid?

No. Marking it paid records that the act has their money. You pay the act from Vault or however you usually pay them, and the deposit and balance you paid before the night show on the settlement.

Fai drafts the settlement from the show's ticket sales after refunds, the actual costs in the event's budget and the fee from the accepted offer. Each line says where its figure came from. When the act's travel, hotel and agency fee are on their booking, they appear on the settlement too, and each amount stays in its own currency.

You select Share when the figures are ready. The lines lock, so the act's side checks the same figures you do, and Print or save as PDF gives you a copy to send to the tour manager or agent. You select Mark as agreed when both sides accept it, and Mark as paid once the act has their money.

To correct a wrong line, reverse it. A new line cancels it and both stay on the sheet. To change a settlement you already shared, reopen it with your reason. The version you shared stays exactly as it was, marked Replaced, and a new draft starts with the same lines for you to correct.

## Does a venue page cost anything?

No. The page is free and stays free whether or not you sell tickets with us. You claim it with a code sent to an address at your venue's own website. If no address there reaches you, contact us and a person sets the page up with you.

Your venue already has a page on ticketfairy.com under its city. On the page, you enter an address at your venue's own website and select Send me a code. An address on part of that website, such as bookings.yourvenue.com, works too. Once you enter the six digits from the email within 15 minutes, claiming the page creates your account and a brand of your own to run the venue from.

If you already run a brand, you add the venue from Venues on that brand instead. If you do not own the venue, say you work with the team there. You get the admin role on the venue and the brand, and the owner place stays open for whoever runs the venue. Claiming the page puts nothing on sale and moves no money.

## How do walk-ups pay at the door?

They pay in cash, or by tapping a card, phone or watch on a compatible Android phone, so buyers can pay by card, Apple Pay or Google Pay. Taps work when your payment processing account is in a country where tap to pay works, your event's venue is in that same country, and your business address or the venue's address is complete.

Your door team sells to walk-ups in the Entry Fairy app, from the same ticket types as your event page, so you never sell the same ticket twice. A second door, a roaming seller and your box office can all sell at the same time. You set up card payments once, on your payment processing account, and you do not need to set up each phone.

Box office sales have their own card on Performance, beside your net revenue. Box Office Sales shows each sale by seller or by date, with cash and card apart, so you can settle up with each seller on the night.

If a phone does not offer card taps, the app names the reason, such as an event with no venue or a business address that is not complete. Once you fix what it names and save, the option appears within a minute. You can still take cash and use any card machine you already own alongside card taps.

[Sell to walk-ups and scan tickets at your door](https://www.ticketfairy.com/features/check-in-and-box-office)

## Do door staff need a signal to scan?

Yes. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each door before you open.

The app is best installed on each phone the day before, while every phone has a good connection. One guest ticket sent to yourself on a ticket type that admits once, and scanned on every phone before the doors open, confirms each phone is ready. The first phone admits it, and every other phone shows it as already checked in, with the time and who scanned it. A phone that shows neither result is not signed in or has no connection.

You undo the test scan from Individual Tickets on Check-In, and cancel the test order so the test ticket stops working at the door. If a phone stops working on the night, you can open the ticket inside its order and set it to checked in by hand. A ticket admitted that way records nobody's name.

## When does a sale count for a promoter?

A ticket or table booked within 7 days of opening the promoter's link, in the same browser, counts as theirs. The Promoters report counts the sales made while they were on the team.

If the buyer opens another promoter's link afterwards, or books on a different device, the first promoter does not get the credit for the sale. A refunded ticket leaves the promoter's figures, and a resold ticket stays with the promoter who sold it first.

On your brand, Promoters with One venue chosen under Show team results for shows each venue's results. The report ranks everyone on your brand and event teams by the tickets and revenue their links brought to that venue's nights. What stands out names who is on the rise, who is slowing down, and who sold on two or more of your events while on event teams only, so you can invite them to your brand team.

[See which team members sell your tickets](https://www.ticketfairy.com/guides/see-which-team-members-sell-your-tickets)

## Can I see every hold and show across all my rooms on one calendar?

Yes. Event Operations on your brand shows every room and stage you run on one calendar, with each hold, show and open offer. You can book a demo, and we set up your rooms and first shows with your team.

Event Operations opens on its calendar, with your events, every hold and each open offer on the day it covers. Each room, stage or terrace sits under Spaces with its capacity, and you choose one space or the week view when a busy day does not fit. Offers, Settlements and Spend each have a tab of their own.

Needs attention at the top of the page lists what to decide today: holds about to lapse, challenges nobody answered, offers with no reply and shows that ended without a settlement. You need an owner, admin or producer role on the brand to place holds, see offers and fees, and settle shows. Every other role on your brand can look at the calendar and the holds.

[Run your holds, offers and settlements](https://www.ticketfairy.com/event-operating-system/venue-operations)

## Which kinds of venue sell tickets with Ticket Fairy?

Music venues, theaters, comedy rooms, nightclubs, bars, warehouses and rooftop venues sell tickets here, along with other live entertainment venues. Private venues that host ticketed events use it too. One room, or a venue group with several sites, runs from one account.

A music venue holds dates in each room, makes offers to agents and settles each show. A club gives each hiring promoter their own night and sells tables and booths with a deposit paid online. A bar puts on a free night where each guest pays a refundable deposit that comes back when their ticket is scanned in time.

A theater sells numbered seats from a seat map, or a place in each area of the house, such as Stalls, Circle and Balcony, at its own price. A venue with a regular program sells a season pass, and holders book each night as it goes on sale.

[Sell numbered seats, areas of the house and time slots](https://www.ticketfairy.com/features/seating-and-timed-entry)

## Can our venue sell tickets under its own brand?

Yes. Your event pages and checkout show your venue's name and logo. Our team can also set up a fully white-label ticketing platform for your venue, on your own domain.

Book a demo, and our team sets up your platform with you, either co-branded with Ticket Fairy or fully white-label under your own name. Your logo replaces Ticket Fairy's on your event pages and product pages, such as gift cards and your season pass, and buyer emails carry your logo beside ours or on its own.

You can also sell from your own website. A buy button, the full checkout or a list of your upcoming events can go on it. Card and wallet payments stay on your website, new buyers check out without an account, and every sale still shows in your dashboard.

[Sell tickets under your venue's own brand](https://www.ticketfairy.com/features/multiple-events-and-brands)

## How can we speed up entry at the venue?

Scan tickets with the Entry Fairy app on a phone at each door, so every queue moves at the same time. Door staff see why a ticket is refused, and can sell to walk-ups from the same app. Walk-ups pay at the venue by card, phone or cash, and you see those payments in your reports beside online sales.

Each person on your door has their own Door Staff login. It opens the scanning app and nothing in your dashboard, and it puts a name against every admission. On each ticket type, you choose whether a ticket admits once or lets its holder back in, and a ticket type such as VIP or the guest list can have its own door and last entry times.

When each ticket type matches its wristband under Credentials, the app shows your door team which band to give each guest as their ticket scans. While the doors are open, Refused scans counts every ticket turned away by reason and hour. Many tickets shown again after check-in at different entrances in a short time usually means a ticket was shared as a screenshot.

[Scan tickets at the door](https://www.ticketfairy.com/guides/scan-tickets-at-the-door)

## Is Ticket Fairy right for a small venue?

Yes. A small venue gets the same tools as a venue group, with no setup fee or required monthly ticketing fee. You can put a weekly night on sale in minutes, scan tickets on your team's phones and sell to walk-ups at the door.

Each night starts from a template, such as Club show, Concert or Freefund RSVP for a free night where each guest pays a refundable deposit. When you duplicate last week's night for its next date, the ticket types, table types and settings come with it. The copy stays a draft until you publish it.

Free tickets carry no fee. For a paid ticket, one booking fee is added at checkout and by default the buyer pays it, so you receive the full ticket price. A group can book a table online and pay the rest at the bar, and the booking fee applies only to the amount paid online.

With a Door Staff login, your bar staff scan tickets from their own phones. Customers on your brand shows each person who bought from you and how many of your events they bought tickets for, and buyers who agree at checkout to hear from you can join your Mailchimp audience.

[Run ticketing for events at your bar or small venue](https://www.ticketfairy.com/guides/run-a-bar-or-small-venue)

## Can a winery or another leisure venue sell tastings and tours?

Yes. Each tasting or tour sells by time slot, each with the number of guests it takes, and a picnic or parking can be an add-on. Later price releases open at a date, when the one before sells out, or on the pace of your sales. Buyers check out on your event page or on your own website, and walk-ups pay at the door.

You choose your dates, the weekdays you open, your first and last entry times and how long each slot lasts, and Ticket Fairy lays out the slots for you. Each slot takes the price and capacity you entered and sells out on its own count. A single slot can change when one time needs a different price or capacity, and an add-on can be limited to the entry you sell it with.

Your event page shows buyers a calendar of the dates that still have a slot on sale, and a full slot stays on the list, greyed out, so buyers pick another. Sales by Time Slot shows sales and revenue for each start time, and on the day your check-in page groups arrivals by date, then time. You can move a buyer to another slot from their order.

[Sell tastings and tours by time slot](https://www.ticketfairy.com/features/seating-and-timed-entry)

## Can people send private hire enquiries through our website?

Yes. A contact form on your website can carry the private hire enquiry questions: name, email, phone, type of event, date, number of guests and details. You get an email for each new enquiry.

The address that gets each enquiry goes under Send form replies to, or the enquiries go to your brand's email address. You can ask up to 20 questions of your own instead, with answers such as a date, a number or a choice from a list.

Every enquiry waits under Form replies, newest first. You can mark each one read or archive it, and Ticket Fairy keeps replies that look like spam apart and does not email you about them. The enquiries for the days you choose download as a spreadsheet file, with one column for each question.

[Take enquiries and RSVPs on your event website](https://www.ticketfairy.com/guides/take-enquiries-and-rsvps-on-your-event-website)

## Can buyers choose their own seat at our venue?

Yes. Buyers pick their exact seat on a seat map with numbered seats, price zones and accessible seats. Your Ticket Fairy contact builds the seat map with you from your venue's layout.

Tables can sit on the map too, so a group picks the table they want. Each ticket shows its seat in the order, and you can give a ticket holder a different seat later without a new order.

A room without numbered seats can sell a place in each area of the house instead, with no map to draw. You can create a ticket category for each area, such as Stalls, Circle and Balcony, with a ticket type for each price inside it. The Theater show template sets up the areas, a program add-on and door times for you.

[Let buyers pick their seat at your venue](https://www.ticketfairy.com/features/seating-and-timed-entry)

## Can we put directions and door details on every ticket?

Yes. You enter your directions, entrance, door times, ID rules and what to bring once, and they print on every ticket PDF for the event.

One ticket type, such as VIP or parking, can have its own words. That text replaces the event's text on those tickets, so repeat anything those buyers still need. Each ticket PDF uses your current text when it is downloaded, while a PDF already sent by email keeps the words it was sent with.

Your venue page carries the same kind of answers for every promoter's buyers, in sections on getting there, your rooms, accessibility and the door, so the directions stay the same whoever runs the night.
