Give masterclasses and winemaker dinners their own places

A masterclass with a winemaker, a vertical tasting or a paired dinner sells as its own ticket type beside general entry, with its own allocation. Or sell it as an add-on to a festival ticket, with the seats in the room as its stock. When the room is full, the masterclass goes off sale and general entry stays on sale. Your door team scans each guest into the masterclass on their own phones.

Put the masterclass time and the winemaker in its description, so guests choose before they buy. A guest who buys entry and a masterclass gets both tickets in one order.

VIP tickets with early entry and a private lounge can sit beside the masterclasses. Each is its own ticket type with its own price and allocation, and you take any of them off sale whenever you need to.

Open a trade session only the trade can buy

Many wine fairs open to the trade before the public. Hide the trade ticket type and open it with an access code you send to buyers, importers and sommeliers, so the public never sees it. For a list of named buyers, send each one a personal invitation with their own ticket limit. A distributor can share one invitation link with its whole sales team, capped at the number you agree.

Set the dates each code works and how many tickets it can open. Give each importer its own code, and replace one without closing the sale for the others.

The invitations table shows who opened their link and who bought. Send a reminder to any buyer who has not bought yet, or cancel an invitation you no longer need.

Choose producers from every region you want

Wineries, importers and distillers apply on your public application page, which shows your fees and extras. Describe the mix you want, such as old-world and new-world regions, a few natural wine makers and local vineyards first. Fai ranks each application against it with her reasons, and you approve, waitlist or decline each one. Approved producers accept your terms, pay their invoice and book a load-in time.

Ask each producer for its insurance and any licence your event needs. Fai picks up the expiry date from each file for you to check, and producers who have not sent theirs yet get a reminder.

A producer who drops out leaves a gap that a producer on your waiting list fills with one decision. The approved, waiting list and declined emails go out in the wording you set.

Place every producer and publish your list of wines

Enter your rules for the floor the way you would say them, such as keeping the sparkling producers together or the fire exit clear. Fai plans a pitch for each producer still without one, and you drag each producer onto a spot on your site map. Producers enter their own listing for the directory on your website, with the words guests filter by, such as Rioja, organic or sparkling.

Your electrician gets a power sheet for each zone, with every producer that needs power for a fridge or a cooler. Load-in times sit on your run of show, so the door team knows which producers to expect and when.

You check and publish each directory listing before guests see it. A listing never shows a producer's contact name, email or phone number.

Check ages once and settle up with every producer

Set the youngest age you admit, and each buyer's age is worked out for the day you open. At the door, staff see each guest's age status as they scan and mark the wristband, so producers pour without asking again. After the festival, producers who pay a share of their sales enter their takings with their reports. Fai checks the reports before you invoice your share with a link to pay.

Give a wine magazine or a sponsor its own ticket allocation, and they hand tickets to readers and clients through one link, with no login to your event.

Producer fees and sponsor money go into your festival budget beside your own lines. Pay your suppliers from Vault, and take ticket payouts every day as tastings sell, or after the event.
