# Fill every tasting session at your wine festival

Sell timed tastings and masterclasses, open a trade session with a code, and bring in producers with their paperwork from one event.

- Every tasting full, and no table crowded
- Producers chosen, placed and paid up
- Trade buyers and the public on one event

## Sell timed tastings that never crowd the room

Wine tasting needs room at the table. Give your tasting ticket time slots, each with the number of guests the room can pour for, and each slot sells out on its own. A wine tasting ticketing system that counts every slot apart keeps the two o'clock tasting as calm as the six o'clock one. Ticket Fairy is a [wine festival ticketing system](https://www.ticketfairy.com/solutions/wine-festivals) for grand tastings, vineyard open days and wine weeks alike. Start from the One-day festival template, with tiers, a VIP ticket and parking ready to price.

Price an evening tasting above a weekday afternoon, and sell a day ticket beside the slots for guests who want longer. A full slot greys out on your event page, and the next free one is a tap away.

Sell the tasting glass as an add-on with its own stock, offered only with the tickets that include tasting. A designated driver ticket can sit beside them with no glass at all.

- **Timed tastings**: each slot sold to its own capacity
- **Glass add-on**: offered only with tasting tickets
- **One-day festival template**: tiers, VIP and parking ready to price

## Give masterclasses and winemaker dinners their own places

A masterclass with a winemaker, a vertical tasting or a paired dinner sells as its own ticket type beside general entry, with its own allocation. Or sell it as an add-on to a festival ticket, with the seats in the room as its stock. When the room is full, the masterclass goes off sale and general entry stays on sale. Your door team scans each guest into the masterclass on their own phones.

Put the masterclass time and the winemaker in its description, so guests choose before they buy. A guest who buys entry and a masterclass gets both tickets in one order.

VIP tickets with early entry and a private lounge can sit beside the masterclasses. Each is its own ticket type with its own price and allocation, and you take any of them off sale whenever you need to.

- **Masterclass tickets**: their own price and allocation
- **Winemaker dinners**: an add-on with the seats as its stock
- **VIP entry**: early entry as its own ticket type

## Open a trade session only the trade can buy

Many wine fairs open to the trade before the public. Hide the trade ticket type and open it with an [access code](https://www.ticketfairy.com/event-ticketing/event-promo-codes) you send to buyers, importers and sommeliers, so the public never sees it. For a list of named buyers, send each one a personal invitation with their own ticket limit. A distributor can share one invitation link with its whole sales team, capped at the number you agree.

Set the dates each code works and how many tickets it can open. Give each importer its own code, and replace one without closing the sale for the others.

The invitations table shows who opened their link and who bought. Send a reminder to any buyer who has not bought yet, or cancel an invitation you no longer need.

- **Access codes**: a hidden trade ticket for the trade
- **Personal invitations**: each buyer with their own limit
- **Invitation links**: one capped link for a whole team

## Choose producers from every region you want

Wineries, importers and distillers apply on your public application page, which shows your fees and extras. Describe the mix you want, such as old-world and new-world regions, a few natural wine makers and local vineyards first. Fai ranks each application against it with her reasons, and you approve, waitlist or decline each one. Approved producers accept your terms, pay their invoice and book a load-in time.

Ask each producer for its insurance and any licence your event needs. Fai picks up the expiry date from each file for you to check, and producers who have not sent theirs yet get a reminder.

A producer who drops out leaves a gap that a producer on your [waiting list](https://www.ticketfairy.com/features/orders-refunds-and-resale/resale-transfers-and-waiting-lists) fills with one decision. The approved, waiting list and declined emails go out in the wording you set.

- **Producer applications**: your fees, questions and certificates
- **Ranked by Fai**: against the regions and styles you want
- **Certificates**: expiry dates picked up by Fai, with reminders

![Ticket Fairy dialog to accept a supplier's insurance, with the expiry date to check and the date Fai found in the file](https://www.ticketfairy.com/embeds/posters/marketing-event-file-requests--accept.png)

## Place every producer and publish your list of wines

Enter your rules for the floor the way you would say them, such as keeping the sparkling producers together or the fire exit clear. Fai plans a pitch for each producer still without one, and you drag each producer onto a spot on your site map. Producers enter their own listing for the directory on your website, with the words guests filter by, such as Rioja, organic or sparkling.

Your electrician gets a power sheet for each zone, with every producer that needs power for a fridge or a cooler. Load-in times sit on your run of show, so the door team knows which producers to expect and when.

You check and publish each directory listing before guests see it. A listing never shows a producer's contact name, email or phone number.

- **Pitch rules**: checked on your site map, with a plan from Fai
- **Power sheets**: fridges and coolers by zone
- **Producer directory**: listings producers enter and you publish

![Ticket Fairy Pitches view with each trader's pitch, the amps of power they need, whether they need water and the power sheet links](https://www.ticketfairy.com/embeds/posters/marketing-event-traders--pitch-list.png)

## Check ages once and settle up with every producer

Set the youngest age you admit, and each buyer's age is worked out for the day you open. At the door, staff see each guest's age status as they scan and mark the wristband, so producers pour without asking again. After the festival, producers who pay a share of their sales enter their takings with their reports. Fai checks the reports before you invoice your share with a link to pay.

Give a wine magazine or a sponsor its own ticket allocation, and they hand tickets to readers and clients through one link, with no login to your event.

Producer fees and sponsor money go into your festival budget beside your own lines. Pay your suppliers from Vault, and take ticket payouts every day as tastings sell, or after the event.

- **Age check at the door**: marked on the wristband
- **Share of sales**: checked by Fai and invoiced
- **Partner allocations**: tickets a magazine hands out

## How wine festivals and tastings use Ticket Fairy

- ### A grand tasting in a city hall

A grand tasting sells three timed sessions a day, each capped at what the hall can pour for. Producers apply on its own page, and Fai ranks them against the regions it wants to show.
- ### A wine fair with a trade morning

A wine fair opens to importers and sommeliers on its first morning with an access code, then to the public from noon. Each importer gets its own code, and the public never sees the trade ticket.
- ### A vineyard open weekend

A vineyard sells timed tastings at its cellar door, with a picnic add-on and a vineyard tour as its own ticket type. Each buyer gets a referral link and earns money back when friends buy through it.
- ### A food and wine pairing weekend

A pairing weekend sells winemaker dinners as their own ticket type, with the seats as their allocation. When a dinner is full, it goes off sale and the tastings stay on sale.
- ### A wine magazine's annual show

A magazine's show gives its readers a partner allocation for a competition and hands its sponsors theirs. Producers pay a share of their sales, checked by Fai from their reports.

## Questions About Ticket Fairy for Wine Festivals & Tastings

### Wine festivals & tastings

#### Can each tasting session have its own capacity?

Yes. Give the tasting ticket time slots, each with the number of guests it takes. A full slot greys out on your event page while the others stay on sale.

#### How do I keep the trade session private?

Hide the trade ticket type and attach it to a promotion with no discount. Buyers who enter your access code see it at its normal price, and nobody else does.

#### Should a masterclass be a ticket type or an add-on?

Make it a ticket type when guests can come for the masterclass alone. Make it an add-on when only festival ticket holders can book it, with the seats in the room as its stock.

#### Does Fai decide which producers to approve?

No. Fai ranks applications against the mix you describe, with plain reasons, and your team approves, waitlists or declines each producer.

#### Does the directory show a producer's phone number or email?

No. A listing shows only the name, what they sell, the kind of producer, the words guests filter by, a website and an Instagram name.

#### How fast do ticket payouts arrive?

You can take payouts every day as tastings sell, or after the event. Daily payouts need your own Stripe account in a supported Stripe country, or your own Xendit account in Indonesia.

#### Does the wine festival ticketing system suit a small tasting?

Yes. A cellar-door tasting for thirty guests uses the same wine festival ticketing system as a grand tasting, and free events cost nothing.
