Here you can find out what wine festival ticketing costs you and your guests, how timed tastings and masterclasses sell without crowding the room, and when your ticket money reaches you. You can also see how you open a private trade session, check ages once at the door, and bring in, place and settle up with every producer, all on the same event where you sell your tickets.

## Who pays the booking fee on my wine festival tickets?

You choose, once for each event, before you create your first ticket type. With Added, guests pay the fee on top and you receive the full ticket price. With Absorbed, guests pay exactly the price on your poster and the fee comes out of what you receive.

On your event, you select Tickets and choose a card under Booking Fees on the Inventory tab. Added is the default on a new event. Added Later shows the ticket price on your event page and the fee at checkout, and is not offered for events in Australia, the United Kingdom or the United States.

The fee falls as a percentage as your prices rise, with a small minimum on low prices, and free tickets carry none. The same choice covers every ticket type and add-on on the event, including your masterclasses and tasting glasses.

[Choose who pays the booking fee on your event](https://www.ticketfairy.com/guides/set-who-pays-the-fees)

## How soon do I get my ticket money?

You can take payouts every day as tastings sell, or after the event. Daily payouts need your own Stripe account in a supported Stripe country, or your own Xendit account in Indonesia.

You choose how you are paid when you set up your brand. With Before your event, as tickets sell, guests pay into your own payment processing account, which has to be Active before your tastings go on sale. With Paid out after your event, Ticket Fairy takes the card payments and pays you 10 to 15 business days after the event finishes.

Ticket Fairy pays you for a postponed event after it takes place, and pending refund requests and chargebacks extend the wait. It is worth checking Payout Details under your brand's Details before the event ends, because a payout already sent to an old account has to be recalled.

[Choose how and when you get paid](https://www.ticketfairy.com/features/payments-and-payouts/payment-accounts-fees-and-payouts)

## Does Ticket Fairy suit a small tasting?

Yes. A cellar-door tasting for thirty guests sells the same way as a grand tasting, and free events cost nothing.

You sign up as an event organizer, enter your brand name and choose how you get paid. The One-day festival template lays out your ticket tiers, a VIP ticket and a parking add-on for you to price.

You can start core ticketing without a credit card, setup fee or required monthly fee. The tiers, add-ons and settings the template builds are yours to rename and reprice.

[Create your Ticket Fairy account and brand](https://www.ticketfairy.com/guides/create-your-account-and-first-brand)

## Can each tasting session have its own capacity?

Yes. The tasting ticket can have time slots, each with the number of guests it takes. A full slot greys out on your event page while the others stay on sale.

Ticket Fairy can turn on time slots for the event. You then create your tasting ticket, turn on This ticket type has time slots and select Generate time slots. You choose the dates, the first and last entry time, the slot length, the price and Max sales per slot, which is the number of guests the room can pour for.

Edit Time Slot on a slot prices an evening tasting above a weekday afternoon. Sales by Time Slot on Performance lists sales and revenue for every tasting, and the Ticket Type tab on Check-In groups arrivals by slot.

[Sell timed tastings with their own capacity](https://www.ticketfairy.com/guides/sell-timed-entry-tickets)

## Should a masterclass be a ticket type or an add-on?

A ticket type suits a masterclass guests can come to alone. An add-on suits one only festival ticket holders can book, with the seats in the room as its stock.

For a ticket type, you create the masterclass under Tickets with its own price and allocation and put the time and the winemaker in its description. Guests who buy entry and a masterclass get both tickets in one order.

For an add-on, you select Create Add-On under Add-Ons, set the stock to the seats in the room, then turn on Limit to Certain Ticket Types Only and pick your festival tickets. When the room is full, the masterclass shows as sold out and general entry stays on sale.

[Sell masterclasses and dinners with your tickets](https://www.ticketfairy.com/guides/sell-add-ons-with-your-tickets)

## Can I check every guest's age once, at the door?

Yes. You set the youngest age you admit, and checkout asks each buyer for their date of birth and turns away anyone too young before they pay. At the door, your team sees each guest's age status as they scan the ticket and marks ID checked on the wristband.

The age goes in Minimum age on the event's Details page. Checkout works out the buyer's age on the day your event starts, so a buyer who turns 18 before the tasting can buy for an 18+ event.

Checkout checks the buyer's age, not each friend on their order, which is why the check at the door matters. Once your team marks the wristband ID checked, producers can see it and pour without asking again.

## How do I keep the trade session private?

You can hide the trade ticket type and attach it to a promotion with no discount. Buyers who enter your access code see it at its normal price, and nobody else does.

On the trade ticket type, you turn on Hidden and choose Always hidden, so a scheduled release never shows it. Under Marketing, Promotions, you then create a promotion with the code, select Add tickets, pick the trade ticket and choose No Discount. Auto-apply stays empty.

Each importer can have its own code on the same promotion, with the dates the codes work and how many times each can be used. To replace one code, you add the new one, check it works, then remove the old one, and the other importers' codes still work.

[Open a hidden trade ticket with an access code](https://www.ticketfairy.com/guides/unlock-hidden-tickets-with-an-access-code)

## Can I send named trade buyers their own invitation?

Yes. Each buyer, sommelier or importer can get a personal invitation by email with their own ticket limit. The invitations table then shows who opened their link and who bought, so you can remind the rest.

Under Interact, Invitations, you start a new invitation. Under Unhide Hidden Ticket Type (optional), you choose the trade ticket, so the invitation reveals it while the public never sees it. You add each recipient with their Maximum number of tickets and Maximum transactions, or upload a spreadsheet with each person's limits from 1 to 50.

The email can go now or on a schedule. Each row then shows Sent, Link opened, Bought or Withdrawn. Send a Reminder reaches everyone who has not bought, and Cancel on one row withdraws that buyer's link without touching the others.

You need a verified brand and a verified account before you send invitations.

[Sell trade tickets by personal invitation](https://www.ticketfairy.com/guides/sell-tickets-by-personal-invitation)

## Can a distributor share one link with its whole sales team?

Yes. One invitation link can carry a limit on the tickets and the orders for the whole team. Everyone who opens it can buy, and the link stops offering tickets once the team reaches the number you agreed.

Under Interact, Invitations, on the Links tab, you select Create Invitation Link. You enter the distributor's name in Description, choose the trade ticket under Unlock Registration for Hidden Ticket Type (optional), and set the Maximum number of tickets and the Maximum number of transactions, each from 1 to 50.

You cannot switch off a link from the Links tab once you make it, so set limits that match what you agreed, a little below the most the team can have. When a team needs more, a new link covers them.

## Does Fai decide which producers to approve?

No. Fai ranks applications against the mix you describe, with plain reasons, and your team approves, waitlists or declines each producer.

On the event, you select Operations, then Traders, and select Set up. You enter The mix you want, such as old-world and new-world regions with local vineyards first, and add your fees and extras. With Rank with Fai, she marks each application Strong fit, Possible fit or Weak fit with her reasons.

On a producer, you choose their pitch and fee, then select Approve, Waiting list or Decline and check the email before you confirm. Approving raises the invoice and can email it with a link to pay by card. A declined producer can still be approved or put on the waiting list later.

[Take producer applications for your festival](https://www.ticketfairy.com/guides/take-trader-applications-for-your-event)

## How do I collect each producer's insurance and licenses?

When you set up applications, you list the certificates every producer must upload. Producers upload each file on their own page, Fai reads the expiry date for you to check, and producers who have not sent theirs yet get a reminder.

A date Fai read shows Read by Fai, and you select Confirm date if it is right or Change date if it is not. With Remind about what is missing, the producer gets an email listing what is still missing with a new link to their page.

Each certificate is also kept in Licenses and certificates under the producer. Before an accepted file expires, the producer gets a reminder and adds a newer one for you to check.

[Collect insurance and certificates from your producers](https://www.ticketfairy.com/guides/collect-insurance-and-certificates-from-your-outside-teams)

## How do I plan where each producer pours?

You enter your rules for the floor the way you would say them, such as keeping the sparkling producers together or the fire exit clear. Fai plans a pitch for each producer still without one, and nothing moves until you place them.

Once your floor plan is uploaded, you open Operations, select Site map and select Rules and plan. Each rule goes in New rule. A rule Fai could not read is marked Needs you until you say what it does.

Under Fai's pitch plan, you select Plan pitches with Fai, untick anyone you do not want placed, then select the button that counts them. You can still drag a producer onto a spot by hand, and Pitch check shows anything that breaks a rule.

[Set floor rules and let Fai plan your pitches](https://www.ticketfairy.com/guides/set-pitch-rules-and-let-fai-plan-your-trader-pitches)

## Can my electrician see which producers need power for fridges?

Yes. A power sheet link for one zone or the whole floor goes to your electrician. It lists each pitch with its producer, the amps they need and whether they need water, with no sign-in.

Under Operations, you select Traders, then Pitches. Under Power sheets, you choose the Zone and how long the Link works for, from 3 to 60 days, then select Make link and Copy link.

The sheet always shows the pitches and power as they are now, and it never shows a producer's contact details.

[Share a power sheet with your electrician](https://www.ticketfairy.com/guides/share-a-power-sheet-with-your-electrician)

## Will guests see my producers' phone numbers or emails in the directory?

No. A listing shows only the name, what they sell, the kind of producer, the words guests filter by, a website and an Instagram name.

Each producer enters their own listing on their trader page, with the words guests filter by, such as Rioja, organic or sparkling, and sends it for review. Under Traders, Directory lets you check each listing and select Publish.

Copy embed code gives you the code to paste into the page of your website where the list goes. Only approved producers can be in the directory, and a producer you cancel leaves it at once.

## How do I invoice a producer for a share of their sales?

Their fee can carry a share of sales, with a minimum and a maximum if you want them. After the event, the producer enters their takings with their till or card reports on their own page, Fai checks the reports against the figure, and you raise the invoice for your share.

Under Traders, Takings, you open a producer. Fai says Reports match, Reports differ or Reports unclear. When you select Accept, then Raise the share-of-sales invoice, the producer gets an invoice by email with a link to pay.

When a figure does not add up, you select Ask about it, and the producer enters it again. The Invoices view shows which producers have paid and what is still to pay.

## Can a wine magazine or sponsor hand out tickets to its readers?

Yes. You create a delegation for the partner with the ticket types and the number they can hand out. They open one access link and add their own guests up to your limit, and never see your sales or your buyers.

On the event, you open Delegations and select Create Delegation. You name it after the partner, select Add Ticket for each ticket type with its quantity, and add the person who holds it with Add User. When you save, Ticket Fairy emails them their invitation once your event is published.

A separate delegation for each partner shows you who took what.

## Can my guests earn money back for bringing friends to a tasting?

Yes. Everyone who buys an eligible paid ticket gets their own referral link by email and on their order page, and earns back part of their ticket price as friends buy through it. A new event starts at 10% back after 2 referred sales, 30% after 5 and the full price after 8.

On your event, under Tickets, then Settings, Disable Rewards System stays turned off under Rewards System. You set each of the three targets from 1 to 10 referred sales and the share of the ticket price each one earns back. With Show referral rewards upsell on, guests see what they can earn before they check out.

The targets are best set before your first sale, because the terms guests saw when they bought stay fixed. The Influencers report lists each person's link clicks, referred sales, revenue and the reward they earned, so you can weigh what the rewards cost against the tickets they brought in.

[Reward buyers who bring friends to your event](https://www.ticketfairy.com/guides/reward-buyers-for-referrals)

## Can I pay my suppliers out of my ticket money?

Yes. With Vault on your brand, you open Vault, select Transfers and select New transfer. You choose the supplier, enter the amount and the reference they will see, and send the payment straight from the ticket money your events have taken.

It can go Now, or On a date up to a year ahead. You see each payment's reference, reason and status in Transfer activity, so your team knows who was paid, what for and when.

With payment approvals on, a second owner sends each payment that another owner prepares. Ticket Fairy support can switch Vault on if it is not in your brand's menu.

[Pay your suppliers from Vault](https://www.ticketfairy.com/guides/pay-suppliers-from-your-vault)

## Can a winery or vineyard sell its own tastings and tours?

Yes. A winery or vineyard business sells timed cellar-door tastings, a vineyard tour as its own ticket type and winemaker dinners with the seats as their allocation. You manage the digital tools for wine events from one dashboard: tickets and add-ons, producer applications, the age check at the gate and your payouts.

Your cellar-door tasting ticket can have time slots, each with the number of guests you can pour for, and the vineyard tour can be its own ticket type with its own time slots. A winemaker dinner can sell as its own ticket type with the seats as its allocation, or as an add-on to the tasting.

You then sell each tasting, tour and dinner from the same event page, and the Ticket Type tab on Check-In shows each one's arrivals.
