## Know who holds every date in every room

Add each room, stage and terrace you book, with its capacity and its own colour. You then see every hold and show on one calendar for your brand. Hold a date for an artist, a promoter or a private client. Any later hold on that date queues behind it as a second or third hold. Challenge the first hold and it gets a deadline to confirm or let the date go. Needs attention shows the dates you need to decide on today, so your booker sees a quiet hold while there is still time to fill the Saturday.

Every hour, Fai, the assistant in your dashboard, looks for holds about to lapse and challenges nobody answered. She also flags offers with no reply and shows that ended without a settlement. When a first hold misses its challenge, one click gives the date to the challenger and moves everyone else up the queue. When you confirm a hold, you choose what happens to the holds behind it. Keep them as backups in case the booking falls through, or release them so their dates are free again.

Every hold keeps its history: who placed it, who challenged or confirmed it, and when. When an agent says they were first, you settle it in seconds. If two people on your team change the same hold at once, the second person sees the latest version first. They choose whether to keep their changes, so nobody overwrites a colleague's booking. ## Offer fees your room can carry, then settle each show

Before you make an offer, see what you paid the act last time and how many tickets those shows sold. Fai suggests a guarantee range from your own history. Choose how the fee works, from a flat fee to a guarantee against a percentage of ticket sales. You see how many tickets pay for the guarantee at your ticket price. When the agent accepts, the act is booked onto your event at the agreed fee. After the show, Fai drafts the settlement from your ticket sales, your costs and the deal, and each line shows where its figure came from.

Start an offer from one of your templates or reuse your last offer to the same act. Fai drafts the email to the agent named on the booking or your last offer. Each counter-offer is saved as a new version beside the one before, so you always know which terms were on the table. Connect your mailbox and Fai fills in the agent's answer from their reply, ready for you to check.

Once you share a settlement, its lines lock, so the act's team checks the same figures you do. To correct a mistake, add a reversing line or reopen the settlement as a new version. The version you shared stays exactly as it was. Mark it agreed when both sides accept it, and paid once the act has their money. The deposits and balances you paid before the night appear beside it. The Spend across your events report then shows what each night cost over a period, including the cost per person scanned in at your door.

## Give each promoter who hires your room their own night

Add a hiring promoter to the one event they booked, and they work on that night only. Your own team keeps access to every night. A promoter who builds the night gets an Administrator seat for that event. One who sells a night your team builds gets their own promoter link. Hold tickets back on a release for each promoter's guest list. Give a partner, such as a sponsor or an act's management, an allocation to hand out from their own link. Share a live sales report with a co-promoter, and they see sales come in with no role on your event.

## Put your own nights on sale and repeat them weekly

Start each of your own nights from the template that matches it, such as a club show, a concert or a theatre show. The template prices each tier around your ticket price and sizes it to your room. Copy last month's night to its next date, and the sale windows, door times and settings come with it. ## Run a door, box office and bar that balance nightly

Invite your door team to your brand as Door Staff. They scan tickets on their own phones every night your venue runs, including nights a hiring promoter builds. Walk-ups pay at the door in cash, or by card, Apple Pay or Google Pay tapped on your team's Android phone. Your box office sells to walk-ups, hands over will-call and reprints tickets. At the end of the night, they balance each till against its cash float. As each ticket scans, door staff see the guest's age status and mark the wristband as ID checked, and your bar team logs every refusal.

## Tell each buyer how to find you and get in

Claim your venue's free page on Ticket Fairy with a code sent to your venue's email address. You can also add it to the brand you already run. Add sections on getting there, your rooms, accessibility and the door. Answer what visitors ask, such as where to park and what time you open. Every promoter's buyers see the same page, so the directions stay the same whoever runs the night. ## Questions About Ticket Fairy for Venues

### Venues

#### Can a promoter who hires the venue see our other events?

No. Add them to that one event's team, and they can work on that night only, until it ends. A partner with an allocation sees only their own link. A co-promoter with a sales report link sees only that report, after signing in with their own Ticket Fairy organiser login.

#### What happens when a hold is challenged?

The first hold gets the deadline you choose, in hours, to confirm or let the date go. If they do not answer in time, Needs attention offers to give the date to the challenger, and the holds behind move up. Ticket Fairy does not email the first hold, so let them know yourself.

#### Which deals can I offer an act?

A flat fee, or a guarantee or a percentage of ticket sales, whichever is more. You can also offer a guarantee plus a percentage above it, a percentage with no guarantee, or a deal you describe in words. The percentage can be of ticket sales, ticket sales after tax, or ticket sales after tax and show costs.

#### Can Fai fill in the agent's reply for me?

Yes, once you connect a mailbox to your brand. Fai fills in the agent's answer for you to check before you record it. Without a mailbox, you record the answer yourself.

#### Does marking a settlement paid move money?

No. It records that the act has been paid. Pay the act from Vault or your own bank, and the deposit and balance you paid before the night show on the settlement.

#### Does a venue page cost anything?

No. The page is free and stays free whether or not you sell tickets with us. You claim it with a code sent to an address at your venue's own website. If no address there reaches you, contact us and a person sets the page up with you.

#### How do walk-ups pay at the door?

In cash, or by tapping a card, phone or watch on a compatible Android phone in the country of the event's payment processing account, so buyers can pay by card, Apple Pay or Google Pay. The option appears once the event has a venue and a complete business or venue address.

#### Do door staff need a signal to scan?

Yes. The Entry Fairy app needs an internet connection to scan tickets, so check the connection at each door before you open.

#### When does a sale count for a promoter?

A ticket or table booked within 7 days of opening the promoter's link, in the same browser, counts as theirs. The Promoters report counts the sales made while they were on the team.

#### Where do I find the calendar, offers and settlements?

#### Which kinds of venue sell tickets with Ticket Fairy?
