How does event accreditation fit with your ticketing and CRM?
What accreditation has to do for staff, crew and press, and why keeping it beside your ticket sales rather than beside a second system is the whole job.

You decide who gets in, you issue each of them something that proves it, you control how often and how long it works, and afterwards you say who was inside. What matters is how much those four jobs cost you next to a ticketing system that knows nothing about them.
Run accreditation somewhere else and you keep two lists that have to agree: names typed twice, a second app on the gate, and both lists to reconcile at the end of the night. Here your passes sit on the same event as your tickets, every scan lands against that event, and one scanner reads both. You keep one list, run one app, and move nothing between two systems.

Passes on the event itself
Issue accreditation from the event it is for, or from the brand above it where the access runs across a season or a tour. You export nothing to a second system and import nothing back.

One event to look at, not two systems
Passes and ticket sales sit on the same event, so you see who's working and who's attending in one place. A pass carries the holder's name and email, and a note of who approved it.

One scanner on the gate
The door app reads a pass and a ticket and tells them apart by the code, so a staff entrance and a public gate run the same app and the same training.

A record you can answer questions from
Each pass carries who you issued it to and any note you left about who approved it, and every scan records the time and the person who scanned it. If something goes wrong that night, this is the record somebody will ask you for.

- You're an owner or an admin on the event or the brand.
- Multi-Entry Passes is in your menu. It appears once we turn passes on for your brand or your event -- ask us if you cannot see it.

List the groups you accredit
Staff, crew, production, security, press, partners, contractors. Each group is one pass type, and the list is usually shorter than the one you have been keeping in a spreadsheet.

Create a pass type for each group
On Multi-Entry Passes, select Manage types, then Create Pass Type. The name is what your gate staff will read on the night, so use the word they use.

Decide how often each group may enter
Set Maximum number of uses per event per type. Contractors in for one delivery and press in for one set need a cap; crew working the whole build do not.

Issue accreditation from the list you already hold
Take the list each department sends you and add it under Upload Recipients as a CSV of first name, last name and email address with no header row. Record who approved it in Notes.

Brief the gates that will see passes
Tell the staff entrance what a valid pass looks like on the scanner and what to do with a refusal. The app takes both kinds of code, so the difference is in what your team expects rather than in the setup.
The app checks a pass against the event, brand or venue you issued it for and against its own limit. It does not check which entrance somebody presented it at.

- Do we have to run accreditation and ticketing as two systems?
- No. You issue passes from the same event as the tickets and your door team scans both with one app, so you keep one list of who may enter and get one record of who did. You export nothing, run no second app, and reconcile nothing.
- Is an accredited person the same record as a ticket buyer?
- Not on its own: you issue a pass to a name and an email, and that doesn't create or find a customer record. So somebody who works an event and later buys a ticket shows up twice, once as a pass holder and once as a customer. Tell us if you need the two joined for a season.
- Can accreditation run across a whole season?
- Yes. Hold the pass on the brand rather than on one event, and it works at every event that brand runs for as long as you leave it in place. A venue that hosts more than one brand holds the pass on the venue instead, and it works at every event whose organiser picked that venue from the suggestions rather than typing the address in.
- Can we limit which entrance an accredited person uses?
- Not on the pass itself. A pass carries no zone or entrance list, and the app checks it against the event, brand or venue you issued it for and against how many times you said it can be used. You control which door somebody uses by who you give which pass to.
- What record is there of who came in?
- Every scan records what your team scanned, when, and who scanned it. Each pass carries the name you issued it to and any note about who approved it.
