Questions organisers ask
How do you connect ticketing to your email marketing?
Ticket buyers who agreed to hear from you reach your email audience as they buy, and opt-outs made in Ticket Fairy leave it without you exporting anything.
- For
- Anyone who sends campaigns to the people who buy their tickets
- Takes
- 5 minutes
Exporting a spreadsheet after every on-sale is the version of this everybody starts with, and it goes wrong the same way each time: the list is a week old by the time it is uploaded, and somebody who asked to be removed is still on it.
Connect your email platform to your brand once and the list keeps itself from that point on. A buyer who agrees to hear from you is added as they buy. Somebody who opts out in Ticket Fairy is removed. The work happens on a queue behind the checkout, so a slow provider costs you a delayed contact rather than a lost sale.
Two things are worth knowing before you rely on it. It starts from the day you connect rather than sweeping up the buyers you already have, so bring those over once yourself. Revenue reporting depends on the platform: Mailchimp reports orders that came from one of your campaigns, while Klaviyo can receive every paid order when ticket revenue sync is on.
How Ticket Fairy handles it
-
One connection for the whole brand
Connect once and every event under that brand feeds the same audience. An event set up with a list of its own before you connected keeps sending to that list until somebody clears it.
-
Added as they buy, removed as they leave
Agreeing to hear from you adds a buyer. Opting out in Ticket Fairy removes them from the connected audience. You are not the one exporting that change by hand.
-
Revenue reporting in the platform you connect
Mailchimp reports orders that arrived through one of your campaigns. Klaviyo can receive a paid-order event even when the buyer arrived another way. In both cases the buyer sync is separate from the sale report.
-
Nothing in front of the checkout
The work runs on a queue behind the sale. Your buyers are never waiting on another company's servers to finish paying.
How to set it up
What you need before you start
- You're an owner, an admin, or on the marketing team for the brand.
- You have an account with the email platform you want to connect, and permission there to create an audience.
-
Connect the platform to your brand
Open your brand settings and choose your email platform. Use the sign-in button when the screen offers one, or paste the API key the screen asks for. The same connection settings appear after either path.
-
Choose the audience buyers should land in
Point the connection at one audience. Sending ticket buyers to the same audience as your newsletter signups keeps one view of a person rather than two records that each half-describe them.
-
Check what your checkout asks buyers
Only buyers who agree are sent. Make the opt-in on your checkout say plainly what you will send and how often, because that sentence decides how much of your audience is real rather than merely large.
-
Move your existing customers over once
Connecting starts the list from today. Export the customers who already opted in and import them into the same audience, so your first campaign reaches the list you already had rather than this week's buyers.
-
Send to a small group first
Write to a handful of people before you write to everybody. It is the cheapest way to find out that the audience you pointed at is not the one you thought.
Or have it done for you
Fai, the assistant inside your dashboard, can show which email platforms your brand can connect, choose the audience once a connection exists, change the sync settings and disconnect it later. Make the connection itself on the brand settings screen, whether it signs you in or asks for a key: a key belongs in that form rather than in a message to Fai. Fai asks before it changes a sync because buyer details can start going to the platform.
In your dashboard, with Fai
Show me which email platforms this brand can connect and which are connected already. For the connected one, show me the audiences I can pick and what the sync settings are now.
Questions you might have
- Which email marketing platforms can I connect?
- Mailchimp, and Klaviyo for brands we have opened it to while its review finishes. Your connection screen lists what your own brand can connect, so read that rather than this sentence if you were given early access.
- Does everybody who buys a ticket get added?
- No, only buyers who agreed to hear from you. Somebody who bought without opting in is your customer rather than your subscriber.
- What happens when somebody unsubscribes?
- An opt-out made in Ticket Fairy is sent to your email platform. If somebody unsubscribes inside the email platform, treat that platform as the record you must respect before you import or resubscribe them.
- Are my existing customers added when I connect?
- No. The connection starts from the day you make it, so export the customers who already opted in and import them once.
- Will my campaign reports show ticket revenue?
- Mailchimp reports orders that came through one of your campaigns, with the order total. Klaviyo can receive every paid order when ticket revenue sync is on, including direct and referral orders.
- Does the sync slow my checkout down?
- No. It runs on a queue behind the sale, so a slow provider delays a contact rather than a purchase.
