Copy the setup of your last event into your next one

Promoters who run the same festival, conference or series every year rebuild the same stages, rota, passes and budget each time. Copying from last year's event gives your team this year's setup in minutes, with the dates moved and without last year's people, bookings or spending.

Bring the stages, teams, shifts, passes, site map, kit list, hotel blocks, budget plan, forms and the rest of an earlier event's setup into a new event of the same brand. You see what each part adds before anything is copied, the dates move to the new event, and nothing the new event already has changes.

  • You are an owner, admin or producer on both events. To copy forms, you need an owner or admin login on both.
  • Both events belong to the same brand, and the new event has its start date, so the dates can move.

  1. Open Copy from last event

    Open the new event, select Operations, select Set up at the top of the page, then select Copy from last event.

    Catatan: On a new event, Start with Fai offers the same copy under Start from your last event, and Fai suggests it under Needs your decision on Today the first time a team member opens the Operations page.

  2. Choose the event to copy from

    Select the event under Which event do you want to copy from?, then select See what will be copied.

    Catatan: The event that looks like the last edition of this one comes first and says Looks like the last edition of this event. To find another of the brand's events that you run, enter part of its name in Find an event.

  3. Check what each part adds

    Read each part in the list: how many things it adds, how many the new event already has and keeps as they are, examples of what comes across, and anything left out with the reason.

    Catatan: The line under the event's name says how many days the dates move, so a shift at 18:00 on the Friday is at 18:00 on the Friday of the new event. As the dialog says, People, bookings, answers and money spent are never copied.

  4. Tick the parts to copy

    Untick any part you do not want, or select Tick everything.

    Catatan: Every part that adds something starts ticked. Parts with nothing to add are folded under their own heading. With a producer login on either event, Forms says Only an owner or admin of both events can copy forms.

The parts you can copy

Each part brings its own setup and never what happened at the last event. A part the new event already has is kept as it is: one-per-event settings, such as the email look, copy only when the new event has none.

  • Stages: Names, capacity, opening hours and closed days.
  • Teams: The teams you use in Shifts, without their members.
  • Shifts: Times, teams, zones, roles and how many people, with nobody on them.
  • Rest and hours limits: The rest between working days and the most hours in a day and a week.
  • Documents asked of people: The certificates and licences the shifts need, without anyone's documents.
  • Safety induction: The briefing and its settings, only when this event has none. A live test comes over as a draft.
  • To-do plan: The readiness tasks, due the same number of days from the event, with nobody assigned.
  • Accreditation zones: Names, colours and order.
  • Pass types and pass groups: What each pass type opens, and the groups with their limits and cut-offs, with nobody in them.
  • Meal times: Each day's meal times, moved to this event's dates.
  • Volunteer programme: Roles, questions, induction and rewards, as a draft with its own application page.
  • Site map: The plan and everything drawn on it. It is not published, and no trader is on a pitch.
  • Radio plan: Channels and call signs, without who carried them.
  • Kit list: Your own kit and what outside teams can order, with nothing handed out.
  • Dressing rooms: Rooms and their stages, without who used them.
  • Trader setup: The application page, questions, contract terms, emails and fees. Applications stay closed until you open them.
  • Exhibitors: Company names, booths, tiers and rating words, as pending; never leads, booth staff or scanner links.
  • Arrival windows: Times and places for deliveries, with no bookings.
  • Hotel blocks: The rooms you hold at each hotel, the rate and the release date, without anyone's stay.
  • Hotel blocks for ticket buyers: The rooms you hold, the rate buyers pay and the last day to book, with no bookings.
  • Documents you ask outside teams for: What you ask for and when it is due. Automatic reminders stay off until you turn them on.
  • Document packs: What each pack holds and who it is for, with nothing sent and no links.
  • Approval rules: Who approves what, and in which order.
  • Email look: This event's own logo and colour.
  • Registration desk setup: Badge size, the company and job title lines, and kiosk email lookup; never desk links or badges printed.
  • Hire and shopping packages: Standard packages and the load-in and load-out days.
  • Budget plan: Your sections and planned costs, with nothing spent.
  • Run of show moments: Doors, curfew and other moments with no act, on the same days and times.
  • Feedback surveys: Questions and wording, as drafts you send when you choose.
  • Forms: Questions, choices and where answers go, with a new address and no answers.

  1. Copy the parts

    Select the button that counts the ticked parts, for example Copy the ticked parts (9).

    Catatan: The copy runs in the background and each part says when it is done. To leave it running, select Close, the copy goes on; each section then shows what was added.

  2. Check what was copied

    Check each part's result, then select Done.

    Catatan: A part that was copied says Copied with how many things were added and how many were already here.

If a part was not copied

The result says Some parts were not copied and names each part marked Not copied with the reason. A part that needs another, such as pass types needing their accreditation zones, waits when that part is not copied. Select Copy again: only the parts that were not copied are ticked, and copying again adds only what is still missing.

What is never copied?
People and their answers, bookings, applications, sales, money spent, messages sent, links and codes. Each part says what it brings, for example shifts with nobody on them, or a site map that is not published and has no trader on a pitch.
Why was something left out?
The preview gives the reason under the part. The usual ones are that the new event does not have that hotel, room or pass type yet, or that one of the two events has no start date, so things with a date cannot move. Add what is missing, then copy again.
What if the new event already has some of it?
What the new event has stays exactly as it is. The copy only adds what is missing, matched by name, and copying twice never adds the same thing twice.
Can I copy from another brand's event?
No. You can copy only between two events of the same brand that you run as an owner, admin or producer.
What happens when I approve Fai's suggestion to copy last year's event?
The copy starts with the parts the suggestion lists. To copy more later, open Copy from last event from Set up: the preview shows what is still missing.
Why does it say a copy is already running?
A teammate or Fai started a copy into this event a moment ago. The dialog follows that copy instead; wait for it to finish, then copy again for anything still missing.
