Set up a self-service check-in kiosk for your event

Conference and trade show teams want the registration queue to move without a volunteer at every tablet. A self-service kiosk lets attendees who have their ticket check in and print their own badge, while your registration desk looks after anyone who needs help.

Put a tablet and a badge printer by your event entrance so attendees check themselves in and print their own name badge. They scan the ticket from their email, or confirm their email address with a six-digit code, and each ticket gets one badge from the kiosk.

  • You are an owner, admin or producer on the event. The event's Operations page opens for those roles only.
  • A tablet or laptop with a browser, a badge printer it can print to, and a USB or Bluetooth scanner for the QR codes on tickets. Without a scanner, attendees enter the code under the QR code. Your badge is set up in the Registration view of Desks.
  1. Start a kiosk link

    In Desks, select Registration, then select Set up a kiosk.

    Bemærk: The desk link dialog opens with Self-service kiosk chosen. A kiosk never lets anyone past a refusal or prints a second badge, so it has no switch for that.

  2. Name the kiosk

    Enter where it stands in Name, such as Kiosk by the main entrance, then select Make link.

    Bemærk: Every check-in and badge from the kiosk is recorded under this name. Left empty, Works until stops the link the day after the event.

  3. Open the kiosk on the tablet

    Scan the link's QR code with the tablet, or select Copy link and open it there.

    Advarsel: The address is shown once. If you lose it, select Get a new link in Desks and links.

Checking in at the kiosk

The kiosk shows your event's name and asks attendees to hold the QR code on their ticket under the scanner, or enter the code below it. It checks them in, prints their badge and goes back to the start after each person, or after 60 seconds with nobody using it. Attendees with no ticket yet see a QR code to buy one on their phone.

Attendees without their ticket

Someone who left their ticket behind selects the email option under the scan field, enters the email address their ticket was sent to, and gets a six-digit code there that works for 10 minutes. With the code they choose whose badge to print. The kiosk says the same thing whether or not the email has a ticket, so nobody at the kiosk can see who is coming.

  1. Check the kiosk works

    Scan a ticket you issued to your team for testing at the kiosk.

    Bemærk: The kiosk says Your badge is printing. Take it from the printer. and the Registration view counts the check-in and the badge.

Fai makes, changes or stops a kiosk link after you confirm, and turns finding a ticket by email on or off in the badge setup. Open Desks and links and select Get a new link to see a kiosk link's address.

  1. Turn email lookup off

    In Registration, select Badge and desk setup, turn off Kiosks can find a ticket by email, then select Save.

    Bemærk: The kiosk then asks for the ticket's QR code only, and sends anyone without it to the registration desk.

Close the kiosk

  1. Stop its link

    In Desks and links, select Stop link beside the kiosk, then confirm.

    Bemærk: The tablet then says This kiosk is closed and sends attendees to the registration desk. A stopped link cannot be turned back on.

Can the kiosk print without the print dialog?
Yes, in Google Chrome started with its kiosk printing option (--kiosk-printing) on the tablet, which prints straight to the tablet's default printer. Set the badge printer and paper size as the default first.
What if an attendee needs a second badge?
The kiosk prints each ticket's badge once, and says Your badge was already printed. Please ask at the registration desk for a new one. A team member prints another at the registration desk with a reason.
How many email codes can one kiosk send?
Up to 3 an hour for one email address and 2,000 a day for the kiosk. Each code allows 5 tries.
Can someone look up another person's ticket at the kiosk?
No. There is no name search at the kiosk, and a code opens only the tickets sent to that email address.
