Give Every Act What You Agreed and Keep Asks for More in Check

Guest list places, rooms and riders are agreed in the offer, then asked about again all through show week. Set each act's allowances once, straight from the accepted offer, and keep one travel party that the passes, the hotel, pickups and the kitchen all work from. When the tour manager asks for more, you approve it or say no with a reason they can read.

  • Allowances taken straight from the offer
  • One travel party for passes, rooms and food
  • Every ask for more answered with a reason

Set Allowances From the Offer in One Click

The deal already says what the act gets. On their advance, select Use these numbers and the guest list places, hotel rooms, nights, meals and drinks come straight from the accepted offer, each marked as coming from it. Change any number, or leave one empty for no limit, and see what is used and what is left beside each.

  • Use these numbers: every allowance taken from the accepted offer
  • Used and left: what the act has taken against what they are allowed
  • Meals and drinks: a number for each person each day

Keep One Travel Party for Every Team

Add each person travelling with the act with their role, contact details, dietary needs, room and arrival and departure times, or paste the list straight from the tour manager's email and check who it found. The passes, the hotel's rooming list, pickups and the kitchen's dietary count all take their names from this one list, and it warns you when it needs more rooms than the act is allowed.

  • Travel party: people, rooms shared and dietary needs for each act
  • Paste a list: names from an email, checked before anyone is added
  • Room warning: a clear line when the list needs more rooms than allowed

Show the Tour Manager What They Are Allowed

Their advance link shows What you are allowed, with what is left of each allowance and Ask for more beside it, and Who is travelling, which they fill in themselves. They cannot add more guest list names or a bigger party than the rooms allow, so the limits hold without anyone policing them. They can also invite a teammate, such as their production manager, to fill in the parts you let them.

  • What you are allowed: every allowance with what is left, on their own link
  • Ask for more: a request with their reason, sent to you
  • Invite a teammate: their own link for the parts the tour manager chooses

Approve or Decline Every Ask With a Reason

Each ask for more shows under Asks for more with what they want and why. Approve it and the allowance goes up straight away, or say no and enter a reason the act reads on their link. When an approval rule covers these asks, the ask goes to the person it names, so a guest list request never waits on the wrong desk.

  • Approve: the allowance rises by exactly what they asked for
  • Say no: your reason shown on the act's advance link
  • Approval rules: asks routed to the approver you chose

Let the Guest List and Drinks Follow the Allowance

Guest list places are the act's guest list pass group in Accreditation, so changing the number on the advance changes it there too. On the day, when the meal desk scans a pass from the act's travel party, the card shows their drinks for today and your team gives each one against the allowance.

  • Guest list passes: the pass group follows the allowance
  • Drinks today: each drink given against the act's allowance at the desk

Questions About Artist Allowances

Allowances & travel party

The event's owners, admins and producers, on each act's advance in Advancing. The act's own page in the event also shows the allowances and any asks waiting.

Yes. Your team can always go over one, and the allowance then shows Over. Only the act's link is held to the numbers for guest list names and rooms.

No. They see your answer, and your reason when you say no, the next time they open their advance link.

A link you sent can invite up to 10 teammates a day. A teammate cannot invite anyone else, and their link stops when the tour manager's does.

They come off the travel party, the rooming list and pickups. Their passes stay until you cancel them in Accreditation.

Yes. Save the sections as a set from Sections for this act. The set keeps the allowances too, and Fai uses it for new acts that match.
