Find the crew and volunteers who work your events

Promoters and venue teams who run event after event rebook the same bar staff, stewards and volunteers, and want to know who turned up last time before offering a shift. One list across all your events shows every person's record from their own shifts, so rebooking your best people takes a search instead of a spreadsheet.

Search everyone who has worked or volunteered at any of your events in one People list, see how many shifts each person worked and whether they turned up, add their skills and confirm their age for shifts that need one. Fai suggests skills from the shifts they worked, and nobody is rated.

Avant de commencer

  • You are an owner, admin or producer of the brand.
  • Event Operations is in your brand menu. It comes with Event Management; if it is not there, ask your Ticket Fairy contact to switch it on.

  1. Open People

    In the sidebar, select your brand, then Event Operations, then People.

    Remarque: Everyone who is crew, a volunteer or on a shift at any of your events is listed once, whatever event they worked. Each shows their number of events, the latest one and what their shifts show.

  2. Search for a person

    Enter part of a name or an email address in Search by name or email address.

    Remarque: The list shows 50 people a page. Use Next for more.

  3. Open their record

    Select the person in the list.

    Remarque: The panel shows What their shifts show, their skills and age, their My shifts link, their documents and food needs, their upcoming shifts and every event they worked.

What their shifts show

Shifts worked counts the shifts they checked in to, and Hours worked adds up the time from check-in to check-out. Turned up is their shifts worked out of those shifts plus the shifts they were marked as not arrived. Missed or cancelled late counts those not-arrived shifts and the times they said they can't make it less than 48 hours before the start. Every figure comes from your shift records across your events, and no team member rates a crew member.

  1. Add their skills

    In Skills, enter a skill and select Add, or select one of Fai's suggestions, then select Save skills.

    Remarque: Fai suggests the teams and roles they worked most. A shift that asks for a skill is offered only to people who have it.

  2. Confirm their age

    Optional: Enter the age in Confirm they are at least, select Confirm age, then confirm.

    Remarque: Confirm only when you have seen their ID or date of birth; your name is kept with the confirmation. You can confirm an age from 14 to 25.

Questions que vous pourriez avoir

Where does the People list get its people from?
From your events' Crew and Volunteers sections and from people added straight onto a shift. Nobody is added by hand here, and one email address is one person.
Can I see someone's date of birth?
No. The record keeps only that they are at least a given age, who confirmed it and when. People can also tick that they are old enough when they accept a shift with a minimum age.
How many skills can a person have?
Up to 30, each under 60 characters. A skill such as Forklift licence also covers a shift that asks for Forklift.
Who can open People?
Owners, admins and producers of the brand. The list shows people's names, contact details and records across your events, and every time it is opened is recorded.
How do I book someone I found here?
Select Open Shifts beside one of their events and add them to a shift, or offer them an open shift from the Offers view of Shifts.
