See what your brand spends across its events

Promoters and venue groups running dozens of shows a year need to know where the money went across all of them, not one budget at a time. The Spend tab adds up every event's budget for the period you choose, so you can see which costs grew, which suppliers you rely on and what each person through the door cost you.

See the planned and recorded costs of every event your brand ran or has coming up in a period, the cost per person scanned in at the doors, your budget sections, your biggest suppliers and each event's figures, with every amount in its own currency.

Avant de commencer

  • You are an owner, admin or producer on the brand. Other roles do not see the Spend tab.
  • Your events record their costs in their budgets: planned costs, actual costs and purchase orders.
  1. Open Spend

    In the sidebar, select your brand, then Event Operations, then Spend.

    Remarque: Every amount stays in its own currency, so a card can hold one figure for each currency.

  2. Choose the events

    Under Which events, choose Last 12 months, Next 12 months, This year or Last year.

    Remarque: The figures cover the events that start in that period. When a period holds more than 500 events, they cover the latest 500 and the tab says so.

Recorded and planned costs

Recorded costs add up the actual costs in the budgets of the events in the period, and Planned costs add up their planned costs. Under the planned costs you see the income your events recorded in their budgets.

Cost per checked-in attendee

People scanned in counts the people scanned at the door at your events. Cost per checked-in attendee is the recorded costs of the events with door scans, divided by the people scanned in there, for each currency. It uses door scans only, never tickets sold, and leaves out events that have not started or where nobody was scanned in.

  1. Check your budget sections and suppliers

    Read Budget sections and Biggest suppliers under the totals.

    Remarque: Sections with the same name are added up across your events, recorded against planned, largest first. Suppliers come from approved, sent or invoiced purchase orders, with how many orders.

  2. Check each event

    Read Events for each event's Planned and Recorded costs and its cost Per checked-in attendee, then select Next for the next 20 events.

    Remarque: An event whose door figures are still being added up says Working out the door figures, and the tab looks again until they are ready. Others say Not started yet or Nobody was scanned in.

Why are there several totals in one card?
Your events recorded costs in more than one currency. Each currency has its own total, and amounts are never converted or added across currencies.
Why is an event missing from the cost per checked-in attendee?
The event has not started, nobody was scanned in at its door, or it has no recorded costs in that currency. Only events with both door scans and recorded costs count.
Where do recorded costs come from?
From the actual costs your team records in each event's budget. Purchase orders count in Biggest suppliers once they are approved.
Can I see one event's budget in full?
Yes. Open the event and its Budget page for every planned and actual cost, or its Operations page for purchase orders and payments due.
